This position reports to the Chancellors Office Chief of Staff and provides administrative support to the Chancellors Office, the Marketing and University Communication Office, the Vice-Chancellor for Advancement and Community Engagement, and the Council of Trustees. This individual will be responsible for independently performing administrative functions critical to the success of the executive offices in a confidential, time-sensitive, fast-paced environment. The position is expected to manage small projects, interact with internal and external stakeholders to cultivate and maintain relationships, and support the work of the Cabinet.

Key Job Responsibilities:

Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures

  • Develops and facilitates communications of varying complexity between various internal and external stakeholders
  • Compiles, screens, and evaluates correspondence and reports and recommends action
  • Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication
  • Monitors budgets, and enters, reviews and approves expenditures
  • Schedules logistics for meetings, conferences, and travel and organizes schedules

Compensation: Minimum compensation of $48,910

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

Required Qualifications:
  • Associates degree at time of application

  • Proficiency in conveying information clearly and engagingly, both in writing and verbally.

  • Ability to manage multiple projects, including planning, execution, and evaluation with strong attention to detail.

Preferred Qualifications:
  • Demonstrated ability to use generative artificial intelligence to advance workflow and improve office efficiencies

  • 3 years of experience in executive leadership support

  • Multilingual in Spanish, Hmong, Oneida, or Somali

  • Experience in a higher education environment

Conditions of Appointment:

A criminal conviction investigation and pre-work screen examination will be conducted on the finalist(s). A six-month probationary period is required for this position.
