Description Odawa Casino Resort Job Description Job Title:Executive Administrative Assistant Reports to:GM-CEO Department:Executive Minimum Pay Rate:$24.00 hour Job Code:EXADM Pay Grade:EXEC3 Date Written:6/22/2021 Revision Date:08/05/2025 Job Summary: Under direction of the General Manager-Chief Executive Officer (GM-CEO), or designee, the Executive Administrative Assistant primarily assists the GM-CEO and Executive Team; receives and routes incoming calls; prepares presentations and reports; assists walk in team members and other visitors; provides general information and assistance; performs routine clerical functions, including word processing and filing; and performs related duties as assigned. Primary Duties and Responsibilities:
- Must exhibit the utmost level of integrity and ability to handle highly confidential information with professionalism, discretion, tact, initiative, and independence.
- Composes and distributes regular communications from the Executive Team.
- Proofread documents for accuracy, as requested by the Executive Team.
- Assists the GM-CEO and Executive Team in daily administrative functions.
- Greet all guests and Team Members in a friendly, open manner.
- Maintain Knowledge of all current and upcoming promotions and events at Odawa Casino Resort.
- Responsible as primary to answer the GM-CEO and assigned Directors' phone lines.
- Maintain an efficient filing system for contracts, projects, and all other applicable correspondence.
- Perform routine office duties, such as separating and distributing daily mail, monitoring and ordering office supplies, etc.
- Create meeting agendas as requested by the Executive Team.
- Maintain Executive Team calendars as requested.
- Facilitate, compile and draft accurate monthly, quarterly, business plan updates and presentation materials for submission to the Gaming Authority and Tribal Council.
- Obtain signatures from the Executive Team.
- Approves all user Odawa Team Member email communications.
- Post updated communications on Team Member bulletin board.
- Maintain and update the internal phone directory.
- Productively handle busy and stressful situations in a positive, cheerful, poised manner and presentation, both in person and on the telephone.
- May be assigned special projects.
- Complete all required training satisfactorily.
- Attend all meetings as required.
- Work at other properties as needed.
- Perform all other duties as assigned within the scope of the position.

- Must be at least 21 years old.
- High School diploma or equivalent required and four (4) years of previous related experience in a senior management office environment required.
- Must have advanced proficiency using all Microsoft Office products or related software and ability to quickly learn specialized software programs.
- Must be able to demonstrate strong attention to detail.
- Must read, write and speak English fluently with the ability to read, comprehend and write simple instructions, short correspondence, and memos.
- Ability to work independently and produce correspondence and reports with minimal direction.
- Strong interpersonal and customer service skills.
- Ability to meet stated deadlines.
- Must demonstrate professional written and verbal communication skills.
- Ability to handle multiple tasks simultaneously.
- Ability to effectively present information in one-on-one and small group situations.
- Excellent time management, including ability to work independently and efficiently, manage multiple projects, set priorities, and meet deadlines in a busy and varied work environment.
- Must be able to type at least 60 WPM.
- Travel between the Petoskey Casino and Mackinaw Casino is required for this position.

- Must be able to meet the attendance guidelines of the job, show up for scheduled shift on time with satisfactory regularity, and work a flexible schedule and days off with ability to work overtime, weekends, holidays, special events, etc., as needed.

- You may be required to pass a skills assessment test to determine if you meet the minimum qualifications of the position.
- Must be able to obtain a gaming license in accordance with the regulations established by the LTBB Gaming Regulatory Commission and be able to serve in the position under any other applicable law.
