This position exists to provide direct confidential and executive assistance to the Warden of the Minnesota Correctional Facility-Moose Lake, so that business needs are accomplished on a daily basis. This position also provides indirect support to the Executive Team. The specific purpose of this position is to organize, implement, coordinate, and manage the necessary functions of the warden's office, also to act as community liaison. It is the incumbent's responsibility to provide the Warden and Executive Team with a means to avoid as much of the routine day-to-day management of their offices as possible. This position serves as the facility's first point of contact. This position responds to sensitive and high priority aspects of the warden's office to facilitate the operation of the institution and maintain security and protection of the public. This position is considered essential during times of government shutdown, strikes, and other major incidents.
Responsibilities include but are not limited to:
Oversee office management details for the Warden.
Act as liaison with IP family members, community, local legislators and law enforcement.
Maintain calendars, schedule and coordinate meetings and appointments.
Compose public and confidential correspondence and reports.
Answer phones and respond to requests for information.
Open, review, and prioritize mail, and coordinate travel arrangements.
Assist the Associate Warden of Administration for lawsuits received and ADA requests.
Prepare training/presentation materials.
Attend, record, and distribute minutes for a variety of meetings including executive morning meeting.
Coordinate outside tours and complete special projects.
Managing grievances, service awards.
Minimum Qualifications
To be qualified for and considered for this position, applicants must meet all of the minimum qualifications listed below. Ensure that your resume contains descriptions of your work experiences sufficient for comparison against the requirements stated below and indicate the beginning and ending month and year for each job held.
A minimum of one year of advanced-level administrative support experience (e.g. Office and Administrative Specialist Senior, Office and Administrative Specialist Principal, or a comparable classification).
English sufficient to write, prepare, and edit materials, using correct spelling, punctuation, grammar and sentence construction, and communicate effectively with internal and external customers both verbally and in writing.
Typing skills using word processing software, preferably Microsoft Word, sufficient to create correspondence, reports, text and other written materials from rough drafts, corrected copies, voice recordings, dictation or previous versions on a computer.
Data entry performance sufficient to access and update DOC-specific databases and other computer systems to gather and report data (such as Microsoft office programs, Visio, Correctional Operations Management System (COMS), and the Controlled Access Tracking System (CATS), and to enhance the operation and organization of the Warden's office.
Skills in using presentation software, preferably Microsoft PowerPoint, sufficient to develop and modify presentations.
Verbal communication and interpersonal skills sufficient to communicate effectively with a variety of customers and stakeholders and exhibit professionalism, courtesy and tact.
Proven ability to maintain confidentiality of data and information.
Preferred Qualifications
The following qualifications are strongly desired of applicants seeking consideration for this position:
Experience in multi-tasking and working under pressure to prioritize multitude of tasks with frequent interruptions.
Knowledge of data privacy and the Minnesota Data Practices Act.
Skills in using the Correctional Operations Management System (COMS) to review offender data.
Experience gathering information to be used in litigation or legal proceedings.
Experience providing training and/or making presentations to others.
Three (3) or more years of experience performing advanced-level administrative support experience.
Skills in researching and compiling data/information for reports, surveys and questionnaires.
Ability to develop, modify, evaluate, and improve policies and directives and facility instructions and operating guidelines.
Physical Requirements

The selection process may include screening the top candidate(s) on their criminal history, predatory offender registration, offender associations and/or other applicable background information in accordance with Department of Corrections' policy. Top candidate(s) must pass a criminal history check which includes successful completion of all sentencing and/or restitution requirements of law enforcement jurisdictions, including probation.
Employment history/reference checks, including incidents of sexual harassment, will also be conducted on the top candidate(s) in accordance with Department of Corrections' policy. This may include a review of job performance and discipline records.
