Salary: $62,716.00 - $84,670.00 Annually Location : Scottsdale, AZ Job Type: Full-Time Job Number: 101###-####01 Department: Community Relations Opening Date: 08/01/2025 Closing Date: 8/15/2025 11:59 PM Arizona Definition Definition: Under general supervision of the Community Relations Manager (Events), coordinates and manages the development, organization and coordination of the Community's events, activities, special events and special projects. Assists with supervising, coordinating and assigning activities to achieve the objectives and goals of the Community. This job class is treated as FLSA non-exempt. Distinguishing Features: The Community Relations Specialist (Events Coordinator) is distinguished from the generic Community Relations Specialist by emphasis on the Community's interests and participation with events, activities, and special projects. Essential Functions: Essential functions may vary among positions and may include the following tasks and other characteristics. This list of tasks is ILLUSTRATIVE ONLY and is not intended to be comprehensive list of tasks performed by all positions in this classification. Examples of Tasks Event Coordination: Assists the Community Relations Manager (Events) with planning, organizing and coordinating the implementation of events, activities and special projects.
  • Attends and assists in meetings relating to events, activities and special project planning.
  • Provides event planning input, coordinates and plans event setup, and produces event reports through a computerized event management system.
  • Assists with events, activity and special project requirements including table arrangements, number and nature of support personnel, caterers, decorators, security guards, department/division crews, volunteers and entities involved in various aspects of the event, activity or special project.
  • Assists committees involved in organizing events, activities and special projects,
  • Assists other departments with detailed work orders, event layouts, required permits, contracts, vendor insurance and any other required documents related to the event/activity.
  • Remains on-site before and after events to ensure its opening and securing closure.
  • Assists with the coordination of event layout, design and overall logistics.
  • Skillset in MS Office Suite or Adobe Creative Cloud Suite.
  • Knowledge in basic photography techniques plus using digital and video cameras.
Special Events Planning: Assists the Community Relations Manager (Events) with organizing, coordinating, preparing and updates Special Events Community Calendar electronically, in print and on-line.
  • Works closely with departments and tribal enterprises on special projects relating to the Community.
  • Meets and coordinates with Community interest groups, businesses and organizations on Community involvement with special projects.
  • Assists departments and programs on a comprehensive calendar of events.
  • Assists with development and distributes tribal government calendar of events, holidays, per capita payout dates.
Supervision: Assists with recruiting, training and supervise volunteers and support staff required for routine projects and special events. Marketing: Assists the Community Relations Manager (Events) with planning and develops event-specific marketing for individual events including press releases, marketing materials and promotional products.
  • Assists with public relations, marketing and advertising services for the Department as necessary for each event.
  • Assist with advertise schedule, design and proof event marketing materials.
  • Assist with Coordinating information for signage related to events, meetings and activities.
Budget Planning: Assists the Community Relations Manager (Events) with preparing reports on revenues and expenditures to ensure cost effective programs along with post event evaluation data.
  • Assists to ensure regular and special events are administered on-time & on-budget.
  • Assists with negotiation business contracts and develops cost estimates.
Operations and Administration: Follows office procedures relating to Community Relations and the marketing functions.
  • Assists with contracts and agreements for services and products provided by vendors.
  • Assists with schedules and coordinates event related meetings, meeting locations, reminders and agendas.
  • Assists with reports and analyses documenting progress, positive and adverse trends, appropriate recommendations and conclusions.
  • Participates in short and long range planning for event programs.
  • Makes recommendations for the successful planning and execution of events.
  • Assists with event reports & post-event summaries noting attendance, times, significant problems, areas for improvement and recommendations.
  • Report to the Community Relations Manager (Events) regarding status of all regular and special events.
  • Assists with developing and reviewing administrative procedures for event coordination.
  • Provides administrative assistance as required.
  • Adheres to the Community's safety related policies and procedures during event planning and execution.
Miscellaneous: Performs other job related tasks as assigned by the Community Relations Manager (Events) or Community Relations Director. Knowledge, Skills, Abilities and Other Characteristics:
  • Knowledge of effective public relations, marketing and advertising.
  • Knowledge of the principles and practices of organization, administration budgeting and public information.
  • Knowledge of office procedures, methods and equipment.
  • Knowledge of the culture, history and government of the Salt River Pima-Maricopa Indian Community (SRPMIC).
  • Knowledge of SRPMIC policies, procedures and ordinances.
  • Knowledge of audio-visual, sound systems and other equipment and practices typical of the event planning industry.
  • Knowledge of the hospitality industry for planning.
  • Skill with organizational planning and management judgment.
  • Skill managing and organizing information, people and schedules toward achieving event goals.
  • Ability to prepare reports regarding revenues and expenditures to ensure cost effective programs along with post event evaluation data.
  • Ability to communicate clearly and effectively both verbally and in writing.
  • Ability to work independently.
  • Ability to work on multiple tasks and projects and meet stringent deadlines.
  • Ability to work in a fast-paced work environment with high work volume.
  • Ability to maintain effective working relationships with employees, volunteers, vendors and the public.

Minimum Qualifications
  • Education and Experience: An Associate's degree from an accredited college or university AND 3 years' experience in Marketing, Community Relations, Public Relations, Communications or special events coordination. A Bachelor's degree is preferred.
  • Equivalency: Any equivalent combination of education and experience that will allow the applicant to satisfactorily perform the duties of the job may be considered.
  • Underfill Eligibility: An enrolled Community Member whom closely qualifies for the minimum qualifications for a position may be considered for employment under SRPMIC Policy 2-19, Underfill.
Special Requirements Insurability: Must possess and maintain a valid Arizona Driver's License and meet the SRPMIC insurance standards. Special Requirements:
  • Will be required to work evenings, weekends and holidays.
  • May be required to stand or walk for extended periods, be exposed to severe weather conditions, including heat and cold, as well as lift and carry special (heavy) equipment or other objects up to 50 lbs.
  • Must have own transportation.
