About the role The Events Coordinator is a critical support role within the Swoop Events Team, reporting to the Sr. Director Events. This part-time position is responsible for the tactical execution of events, including logistics, reservations, event kits, and warehouse coordination. The role contributes directly to Swoop's success by enabling the team to scale operations, support over 50 planned initiatives, and maintain brand excellence across all engagements. While this is a temporary, part time opportunity to begin, there is an opportunity to convert full time. What you'll do

  • Coordinate with external vendors for event-related services such as catering, dcor, and merchandise fulfillment.
  • Maintain and organize event supplies and promotional materials in the warehouse; ensure timely replenishment and accurate tracking.
  • Utilize Asana and SharePoint to manage timelines, deliverables, and cross-functional collaboration.
  • Assist in tracking event-related expenses and reconciling invoices to support budget adherence.
  • Collect feedback and assist in compiling post-event reports to inform future planning and continuous improvement
  • Support internal events such as all-employee meetings, leadership summits, and employee engagement initiatives.
  • Contribute to process documentation and playbooks to support scalable event execution as the team grows.
Qualifications
  • Bachelor's degree in Marketing, Communications, Event Management, or related field
  • 2+ years of experience in event coordination or related roles
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Proficiency in event planning tools and Microsoft Office Suite
  • Ability to work independently and collaboratively in a fast-paced environment
  • Detail-oriented with a passion for delivering exceptional experiences
The pay range for this role is: 30 - 35 USD per hour (Remote (New York, New York, US))
