The Events Coordinator is responsible for helping to manage all aspects of scheduled events, training classes, customer visits, and promotional activities. Helping to Identify and manage relationships to support events with lodging, logistics, branding, and other tactical elements. The candidate should have an appreciation for special events management and providing outstanding customer service.Responsibilities:
- Prepare welcome letters, nametags, marketing materials, gift bags, registration lists, binders, packets, seating cards and other event materials.
- Create and distribute event itineraries
- Produces and distributes binders and packets
- Receive, track and respond to attendee requests.
- Provides registration reporting on a regular basis
- Secure accommodations and meeting room space, arrange food and beverage, confirm transportation, schedule and confirm recreation, and order supplies & event signage for our facilities in Georgia and Arizona.
- Set up, confirm and communicate hotel, recreation and dining reservations
- Set up, confirm and communicate transportation for event registrants
- Prepares and sets up training, dining and facilities for each event
- Assist with managing on-site production, greeting guests, act as a host to the guest's needs and clean-up before and after events as required. This includes but is not limited to, stocking fridges, preparing snack baskets, making coffee, washing dishes and working with the cleaning service and maintenance staff to ensure cleanliness and operational readiness of the facilities.
- Insures cleanliness and operational readiness of facilities by working closely with cleaning service and maintenance staff
- Maintain a well-stocked and accessible supply room of snacks, beverages and other event materials at our Georgia and Arizona facilities.
- Manages and documents inventory of event supplies including food and beverage, welcome bags, promotional items, and store merchandise
- Data Entry
- General administrative support
- Work with the Vice President of Sales, Area and/or Sales Managers, Director of Customer Service and Learning, Director of Technical Sales as well as the Events Manager to coordinate an overall strategy for events.
- Liaise and maintain relationship with vendors including: printing companies, hotels, vending companies, and event venues in Atlanta and Phoenix.
- Run reports and distribute paperwork, daily
- Process order changes timely
- Support special projects as required.
- Assume and perform other duties and responsibilities not specifically outlined herein, but which are logically and properly inherent to the position.
- Other duties as assigned.
Qualifications:
- Bachelor's degree or equivalent work experience required.
- 2+years of prior experience as an Event Coordinator.
- 2+years of combined experience in hospitality or service and administration or customer service or production control
- Computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, etc.).
- Prior experience working with an email marketing software is considered to be an asset.
- Prior experience in scheduling and managing webinar events is considered to be an asset.
- Excellent organizational and communication skills, while maintaining and following company event protocols and procedures.
- Highly professional appearance and demeanor.
- Strong interpersonal skills.
- Ability to lift 30 lbs.
- Must have the ability to communicate effectively with both internal and external customers in person, through email and by phone.
- Ability to interact well with customers on the phone and in person is a must.
- Dependable transportation for required shopping or guest pick-ups.
- Ability to travel, on occasion, throughout the US and Canada.
