POSITION SUMMARY Reporting to the Assistant Director, Event Operations, the Events Coordinator is charged with ensuring all events and programs that occur are set-up, fully stocked and ongoing check-ins while event/program is occurring to establish a customer service model. The individual will work closely with the Assistant Director, Event Operations to ensure timeliness and a high level of customer service for all programs have been established. The Events Coordinator in conjunction with the Assistant Director, Event Operations to oversee all aspects of programs including, set-up/breakdown, catering, hospitality, vendor engagement, and monitoring of events and programs. They will review the TC Event management system to ensure appropriate allocations and programmatic efforts of the Vicar's office are being maintained and quantified to ensure equitable usage throughout Trinity Commons, Trinity Church and Saint Paul's Chapel. The hourly pay rate for this position is $47.64 to $53.96. ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Oversee and coordinate events day to day as required, including problem solving, conducting event set-up and break down.
  • Coordinating with outside vendors as it relates to all events and programs within Trinity properties.
  • Work under time restraints to ensure a customer service approach across all Trinity programs and events.
  • Maintain constant communication between Assistant Director, Event Operations to maximize space utilization and balance of congregation and community related programs.
  • Review the Event Management system and appropriately schedule set-ups and breakdowns.
  • Work with various departments of facilities, marketing, finance, technology, and others to insure the smooth and safe running of all programs and events.
  • Coordinating internal ground travel and local hoteling. Create travel check lists, guides, itinerary templates. Create and maintain relationships with a list of vendors.
  • Coordinating event interior design for internal events. Creating and maintaining guidelines, processes, and vendors list. Managing rental drop off and pick up for event supplies with external vendors and maintaining in-house supplies.
  • Oversee and maintain event tracking systems and weekly informational communique.
  • Oversee external client walkthroughs for event spaces. Liaise with Trinity Studios on lighting plots for Vicar's Department specific events.
  • Create and maintain detailed data reporting within our current systems on all in-person events occurring in the Commons, Trinity Church, and St. Paul's Chapel.
Other Responsibilities
  • Performs such other specific responsibilities as may be assigned by the Assistant Director, Event Operations that will further the goals, objectives, and mission of Trinity Commons, Trinity Church, and Saint Paul's Chapel.
  • Adhere to confidentiality rules and all other Trinity Church NYC policies, procedures, and rules.
  • Perform all duties in a manner that promote TCNYC's mission and core values.
  • Assume other related responsibilities and special projects as required.
REQUIRED KNOWLEDGE, SKILLS, AND ACTIVITIES
  • Demonstrated track record of ensuring an event has been set-up and running in an optimum timeline.
  • Clear and well-defined vision for, and commitment to, the unique role that events will play within Trinity Commons, Trinity Church, and St. Paul's Chapel.
  • Knowledgeable in and demonstrated experience in events.
  • Excellent verbal communication skills.
  • Ability to deliver hard/fast deadlines. Outstanding judgment and discretion in handling sensitive matters.
  • Demonstrates integrity and positive attitude.
  • An enthusiastic, energetic, creative, flexible individual who can juggle multiple priorities.
  • Strong work ethic.
  • Flexibility in a non-traditional workday or week- possible weeknights/weekends
REQUIRED AND PREFERRED EDUCATION, EXPERIENCE, AND CREDENTIALS
  • Minimum 3 years in event planning or hospitality service industry.
  • Minimum of 5 years of experience working on deadlines/multiple events and programs.
  • Minimum of 3 years of experience working within a non-profit, community-based organizational setting, college or university.
