Introduction This is responsible work involving event coordination for the municipal convention center. Nature Of Work An employee in this class is responsible for performing tasks of average difficulty involving event coordination for the municipal convention center. Under general supervision, the employee is required to exercise reasonable initiative and independent judgment in coordinating activities related to lessee needs. The exercise of considerable tact and courtesy is also necessary in dealing with the public. Position will require that work be performed on weekends and during irregular hours. Work is reviewed while in progress through observation and upon completion through reports submitted, public response and results obtained. Examples of Duties Obtains clients' needs; explains policies, procedures, and services offered through the convention center; works directly with meeting planners to coordinate the successful execution of events, arranges services such as catering, security, audio visual, internet, utilities, and emergency personnel; provides event specific information such as floor plans and event timelines convention center departments and service providers; manages the events to ensure work is performed. Acts as liaison between the convention center and the lessees; coordinates activities as they relate to lessee needs both prior to and during events such as conventions, trade shows, or public shows; conducts follow-up meetings to verify information and resolve problems. Submits floor plans required by the Fire Inspector for review and approval. Works closely with the Fiscal Department to ensure ancillary expenses are appropriately billed and invoiced. Prepares non-technical drawings and sketches using AutoCAD; enters event information into designated software programs. Attends staff meetings to discuss upcoming schedules and events, conduct site visits, planning meetings and pre-cons. Prepares and maintain files and reports. Checks assigned areas for safety hazards and address any concerns; reviews all incident reports. Performs related work as required. Knowledge, Skills & Abilities Working knowledge of: convention center standard operating procedures; strong organizational and communication skills, basic computer skills. Ability to: multi-task, coordinate effectively with various stakeholders, clients and service providers. maintain records and prepare clear and accurate reports; establish and maintain effective working relationships with other employees, meeting planners, and the general public. Minimum Qualifications Graduation from an accredited college or university with a bachelor's degree in public relations, business administration, recreation, mass communications, marketing, hospitality or a related field and three (3) years of experience in events coordination, meeting planning at a convention center, conference center, hotel, expo hall or other related venue. Licenses or Certifications Possession of a valid Florida driver's license may be required. Preferred Certifications:
  • Certified Meeting Professional (CMP),
  • Certified in Exhibition Management (CEM)
  • Certified Venue Professional (CVP)
Comments Employees may be required to work rotating shifts, including nights, weekends, holidays and overtime as needed. During periods when the Mayor issues an emergency declaration for the City of Tampa, all employees may be required to work in preparation, response or recovery activities related to the stated emergency.
