Acting as the primary client contact, you will lead the planning and seamless execution of events while serving as the vital link between our facility users and arena staff.DAY-TO-DAY:Determine the needs of clients and provide appropriate information to facility staff.Interpret contracts and work closely with Rip City Management ( RCM ) sales staff to ensure client's expectations/contract obligations are met.Coordinate with internal & external contractors, vendors, and departments including catering & concessionaires, broadcasting companies, decorators, box office, finance, sponsorship, marketing and other services.Ensure compliance with state and local fire and safety ordinances.Coordinate & apply for all appropriate event permits from local authorities.Serve as event lead at event; enforce facility policies and procedures throughout each event; identify and resolve problems including managing and coordinating all facility departments. Serve as liaison between client and arena staff, communicating event-day changes as needed.Approve all staffing levels and additional expenses; calculate, prepare and submit all settlement estimates; prepare and participate in final settlement.Prepare written documents detailing event requirements and distribute to facility staff within designated time frame; prepare written evaluations of events, documenting all changes and issues throughout the event; maintain accurate and complete event files.Attend and participate in weekly events meetings with other department managers to evaluate past events and prep for upcoming events.Establish relationships and work closely with promoters to determine their event needs from start to finish.Maintain up-to-date communication with clients and internal departments regarding event changes and needs. Develop rapport with internal departments to facilitate excellent event execution.Primary contact for on site client (as assigned) for all event day & dark-day needs.Maintain complete and accurate event files. Interpret event contracts, deal points and billing for each assigned event and ensure contract obligations are fulfilled.Take an active role in shaping and supporting ongoing hospitality efforts that create meaningful engagement across our teams and client relationships.Responsible for the financials of each assigned event, including estimated event expenses and staffing, internal and third-party invoices and final event settlement, both internal and external.Perform other duties as assigned.WE'D LIKE TO HEAR FROM YOU IF YOU:Have 2+ years of experience managing or coordinating events in a fast-paced, high-volume venue.Excel at building and maintaining relationships with diverse internal teams, vendors, clients, and promoters.Demonstrate exceptional organizational and time management skills, with the ability to prioritize tasks and pivot quickly.Possess strong leadership capabilities and the confidence to make independent decisions that impact business operations.Thrive under pressure and enjoy solving problems with creativity and a customer-first mindset.Communicate clearly and effectively, both verbally and in writing.Are comfortable navigating complex event logistics and ensuring compliance with safety standards and regulatory requirements.Bring experience managing event budgets, settlements, and financial reconciliations.Are proficient in Microsoft Office Suite and adaptable to learning new platforms (experience with Momentus , Zoom, Slack a plus).Bring a humble, hands-on approach to leadership and teamwork.Ability to work flexible hours, including nights, weekends, and holidays, based on event schedules.WE'D BE THRILLED IF YOU ALSO HAVE:Experience working in a multi-purpose sports and entertainment venue.Familiarity with event management software such as Momentus or equivalent platforms.Proven success coordinating high-profile or large-scale events with complex logistics.Offers of employment are conditional upon the successful results of an individual background check.
