Position SummaryThe Engineering Services Administrative Coordinator, Sr. works closely with the Engineering Services Manager, Electric Engineering Tech Supervisor and Engineering Services Administrative Supervisor. Supports all departments within Engineering and is responsible for communicating with and scheduling appointments for Members/Customers, generating service requests and work orders, performing daily tasks and work assignments relating to residential, commercial, retail, industrial and system construction projects, generating new electric and gas customer accounts, approving pool plans, maintaining customer account and GIS base map accuracy.Primary Position Responsibilities
  • Builds and maintains positive working relationships with Members/Customers.
  • Supports questions, concerns and issues as it relates to Engineering Services.
  • Answers incoming calls in a prompt, courteous and efficient manner and directs as needed.
  • Researches and mitigates Member/Customer issues and complaints.
  • Schedules appointments for Electric Engineering Techs to meet with Members/Customers.
  • Assists Electric Engineering Tech Supervisor with re-assignment of Tech appointments in Outlook.
  • Monitors both the workgroup email and voice mail inboxes and processes in an efficient manner.
  • Reviews and approves/denies new user requests submitted through the Engineering Portal on the CoServ website, to ensure the proper submittal of pool plans electronically.
  • Assists and directs pool companies and Members/Customers with submitting pool plans electronically through the Engineering Portal on the CoServ website.
  • Reviews, processes and approves pool plan submissions within the work management system (Maximo).
  • Reviews and processes work orders approved by the Engineering Services Manager.
  • Generates new individual Member accounts in the customer information system (NISC-CIS).
  • Communicates with City/County authorities to obtain 911 address plats.
  • Utilizes the GIS map (ArcMap) to obtain new account information and prepare Project Engineering job packet for account generation.
  • Generates new subdivision and apartment accounts in mass quantity by entering account data into a spreadsheet template for uploading into the customer information system (NISC-CIS).
  • Monitors quality and accuracy of data entry.
  • Assists in updating and maintaining GIS Base Map accuracy by collaborating with IT-GIS personnel.
  • Maintains NISC-CIS account accuracy by processing Tasks assigned to Engineering Services by other departments, through the customer information system (NISC-CIS) program.
  • Maintains thorough knowledge and understanding of CoServ's work management (Maximo), GIS mapping (ArcMap), customer information system (NISC-CIS), SharePoint and Outlook programs.
  • Complies with established CoServ safety and operating rules, procedures and guidelines including reporting unsafe practices to a supervisor.
  • Complies with established CoServ Information Security Handbook, policies, procedures, and guidelines including reporting suspected information security incidents to Tech Support.
Secondary Position Responsibilities
  • Assists the Engineering Services Administrative Supervisor with executing and monitoring Maximo reports and queries for data accuracy.
  • Mentors and trains new Engineering Services Administrative Coordinators for all position responsibilities.
  • Assists the Engineering Services Administrative Supervisor by directing work, addressing complaints and maintaining up-to-date departmental forms, contact lists and business processes.
  • Generates service requests for Transocket requests within the work management system (Maximo) and prepares for invoicing.
  • Coordinates with the Electric Engineering Tech Supervisor to generate and process Member/Customer requests for temporary line clearances within the work management system (Maximo).
  • Assists the Engineering Services Manager with CoServ Easement encroachment and abandonment processes.
  • Prepares check requests for work order refunds.
  • Assists the Engineering Services Administrative Supervisor by monitoring and following up on reported Member/Customer safety violations.
  • Distributes Engineering departmental mail and inter-office correspondence.
  • Assists Electric Engineering Techs in maintaining their Outlook calendar.
  • Researches bankruptcy notifications for outstanding balances.
  • Assists in testing software upgrades as needed.
  • Attends Engineering staff meetings as directed.
  • Receives training as directed by Management.
  • Performs other duties and activities as directed.

Position RequirementsEducation and Certifications Required
  • High School Diploma or G.E.D equivalency.
Education and Certifications Preferred
  • Associates or Bachelor's degree in business.
Experience Required
  • 7 years' experience in the electric utility industry.

  • Must have comprehensive knowledge of Microsoft Word, Excel, Outlook, NISC, Maximo, GIS ArcMap, SharePoint and the ability to learn additional software packages.
  • Must have knowledge of basic mathematics.
  • Must be able to prioritize and manage multiple tasks simultaneously.
  • Must have accurate typing ability of 60 wpm.
