DEFINITION

Under the supervision of the Program Operations Supervisor, the employee will work on various consumer education activities, including eligibility certification, workshop data input, and managing LIHEAP files weekly.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Answer phones, take messages, greet visitors, and schedule appointments.
  • Perform data entry and word processing tasks.
  • Establish and maintain filing systems for correspondence, forms, reports, and records.
  • Maintain accurate records and track client program activities.
  • Log and file program records and compile statistics.
  • Type letters, reports, and forms.
  • Assist in preparing program reports and proposals.
  • Operate office equipment such as duplicators, calculators, typewriters, computers, and fax machines.
  • Attend administrative meetings as required.
  • Perform other related duties as assigned.

QUALIFICATIONS AND SKILLS

Knowledge of:

  • Human relations and communication skills.
  • Intermediate word processing and data entry skills.
  • Bilingual (English/Spanish) communication skills.

Ability to:

  • Type at least 35 WPM, format documents, and proofread for professionalism.
  • Manage records and understand office systems and procedures.

EDUCATION/EXPERIENCE/CERTIFICATION

  • High School diploma or GED.
  • Two years of clerical/office experience or education.
  • Six months of hands-on experience or training, or 9-12 units in related coursework.

HEALTH STATUS

Must pass a physical, TB test, and drug screen, and provide immunization records for influenza, pertussis, and measles before starting.

PHYSICAL AND MENTAL DEMANDS

Regularly required to stand, walk, sit, talk, hear, handle objects, reach, stoop, kneel, crouch, crawl, climb, and lift up to 50 pounds. Vision requirements include close, distance, and peripheral vision, and focus adjustment.

Mental demands include effective communication, problem-solving, analyzing situations, learning new skills, working under deadlines, and interacting with diverse individuals.

BACKGROUND CLEARANCE

All positions require background checks, DMV checks, and other screenings as per funding sources. California law mandates background checks for childcare workers, including child abuse reporting acknowledgment.

TRANSPORTATION

Must have a valid California Driver's License, personal insured vehicle for daily use, and acceptable driving record. Enrollment in the DMV Pull Program is required.
