Job Summary: The Employee Relations Specialist is responsible for the administration of the employee relations program. This position involves gathering, organizing, and maintaining documentation and records critical to workplace investigations and human resources matters. The specialist addresses interpersonal conflicts, workplace issues, and employee concerns, working proactively to facilitate resolutions that align with company policies, legal requirements, and best practices. By providing guidance and support to both employees and leaders, the Employee Relations Specialist helps to promote a respectful, compliant, and collaborative work environment. Essential Job Functions & Accountabilities:
Addresses routine employee relations inquiries by applying comprehensive knowledge of HR policies, company guidelines, and applicable laws. Provides clear and consistent guidance to employees and leaders on HR-related matters, ensuring alignment with organizational standards. Assists leaders in articulating the facts that support the need for disciplinary action. Reviews all requests for disciplinary actions ensuring information contained is factual and supports the action being taken. Ensures information being communicated is written in a manner that is clear and understandable by the employee. Acts as the first point of contact for employees to report complaints or concerns. Conducts thorough intake assessments to determine the nature of the issue, guiding employees and leaders through the process of resolution or escalation as appropriate. Conducts initial interviews and gathers detailed information regarding employee relations concerns, including harassment claims, workplace conflicts, performance issues, or other workplace grievances. Uses sound judgment to interpret policies and recommend appropriate actions to resolve issues while minimizing organizational risk. Collaborates with HR Business Partner (HRBP) on initial findings and investigation summaries to determine next steps in the resolution process. Partners with HRBP to initiate a deeper investigation into serious matters. Ensures accurate and up-to-date recordkeeping of employee-related actions such as hiring, terminations, promotions, transfers, and leaves of absence, with particular attention to Equal Employment Opportunity (EEO) compliance. Supports the organization's commitment to non-discriminatory practices throughout all HR processes. Analyzes data from surveys, interviews, and other sources to identify trends in employee relations issues that may indicate the need for policy adjustments. Compiles and reports findings to the Manager to inform decision-making and recommend necessary policy changes. Collaborates closely with Employee Engagement and other People and Culture teams to drive targeted employee engagement and retention strategies, working together on key focus areas within the District to enhance workforce satisfaction, morale, and long-term retention. Facilitates exit interviews with departing employees and gathers data from any exit interviews completed online to gather insights on team members' reasons for leaving and identify recurring trends or concerns. Summarizes findings and collaborates with Manager and HRBP's to identify actionable strategies for improving employee engagement and retention.
