Early Learning Family Case Specialist

GENERAL PURPOSE OF JOB:
Under the supervision of the Enrollment and Family Manager, the Early Learning Family Case Specialist is the first contact with families interested in enrolling in the Think Together Early Learning program. Responsibilities include outreach, sharing program information, managing enrollment and eligibility requirements, maintaining records, translating documents, and conducting clerical work related to child enrollment and participation.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide program information to families requesting childcare services.
- Conduct outreach in the community—meeting with parents, holding registration fairs, guiding parents through registration, and enrolling families in compliance with requirements.
- Conduct enrollment appointments with prospective families promptly.
- Maintain and update waiting lists.
- Monitor child absences and follow up as needed.
- Act as a resource and liaison to families, programs, and providers.
- Monitor attendance sheets from childcare/provider sites.
- Maintain current enrollment records and family files.
- Ensure compliance with all requirements for families receiving subsidized care.
- Complete paperwork and documentation accurately and timely.
- Participate in outside recruitment events like fairs and meetings.
- Plan and coordinate family recruitment efforts.
- Provide family resources and monitor their effectiveness.
- Support teachers in the classroom as needed to meet regulations.
- Perform other duties as assigned.
Other Functions and Responsibilities:
- Participate in program planning and provide feedback.
- Maintain inventory of supplies and purchase as needed.
- Communicate regularly with parents to serve families better and promote program activities.
- Encourage parent participation in workshops and meetings.
- Link families to outside services and support them.
- Facilitate workshops on early literacy strategies.
- Maintain detailed records, facilitate meetings, and document referrals.
- Maintain confidentiality of family records.
- Translate for non-English speaking parents and assist with applications.
- Ensure compliance with policies and participate in trainings.
- Attend meetings and trainings as required.
- Work some evenings, weekends, and travel for events and training as needed.
EDUCATION and/or EXPERIENCE:
- Two years of experience working with children and parents or related experience.
- High School diploma or GED.
- 6 ECE units with a grade of “C” or better (preferred).
QUALIFICATIONS:
- Ability to work well with people and understand children and families' needs.
- Effective public speaking skills.
- Intermediate or advanced computer skills (Windows, Excel, Word).
- Proficient in written and oral English.
- California Driver's License, reliable vehicle, and insurance.
- Pass background check and TB test (renewed every two years).
- Meet immunization and screening requirements.
- Bi-literate in Spanish is required.
Compensation: $24.00/Hr
