Job Overview: VRF Services of Texas is seeking an organized and detail-oriented HVAC Dispatcher/Estimator to join our team. The Dispatcher will be responsible for coordinating and scheduling service calls for our HVAC technicians, ensuring timely and efficient customer service, and oversee our service administrative operations. The ideal candidate will have strong communication skills, excellent multitasking abilities, and a proactive approach to problem-solving. Key Responsibilities:

  • Administrative Oversight:
    • Supervise day-to-day administrative operations, including scheduling, billing, and customer service.
    • Ensure compliance with company policies, procedures, and industry regulations.
    • Develop and implement efficient administrative processes and systems.
    • Maintain accurate and up-to-date records in TRAX, including customer information, service history, and technician schedules.
    • Assist in managing inventory levels and ensuring that technicians have the necessary tools and materials for their jobs.
  • Team Management:
    • Lead and train administrative staff, fostering a positive and productive work environment.
    • Conduct regular performance evaluations and provide constructive feedback.
    • Collaborate with management to identify staffing needs and assist in recruitment efforts.
  • Customer Relations:
    • Handle customer inquiries and resolve issues promptly and professionally.
    • Maintain relationships with clients to ensure high levels of satisfaction and retention.
    • Monitor customer feedback and implement improvements based on suggestions.
    • Serve as the primary point of contact for customers, addressing inquiries, providing updates on service status, and resolving issues in a professional manner.
  • Financial Administration:
    • Assist in budget preparation and monitor expenditures to ensure adherence to financial goals.
    • Process invoices and ensure timely billing and collections.
  • Schedule and Dispatch:
    • Efficiently schedule service appointments and dispatch HVAC technicians to customer locations based on urgency, technician availability, and geographical considerations.
    • Collaborate with technicians and management to optimize routes and ensure timely service delivery.
    • Address any scheduling conflicts or technician issues promptly, adjusting schedules as needed to meet customer needs.
Qualifications:
  • Education:
    • Bachelor's degree in business administration, management, or a related field is preferred.
  • Experience:
    • 3+ years of administrative experience, preferably in the HVAC or service industry.
    • Proven experience in a supervisory or leadership role.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent verbal and written communication skills.
    • Proficient in Microsoft Office Suite and service management software.
    • Ability to analyze data and generate actionable insights.
Additional Requirements: • Strong attention to detail and problem-solving skills. • Ability to work in a fast-paced environment and adapt to changing priorities. • Knowledge of HVAC systems and terminology is a plus.
