Director of Scheduling (New York, NY)
Salary Band – M-4: $130,000-$160,000
Location: Albany, NY or New York, NY
The Director of Scheduling is a key member of the core team in the Governor's Executive Office responsible for overseeing and coordinating meetings, public appearances, and travel for the Governor. The Director of Scheduling oversees a team of 4 individuals that support the functions that support execution of the Governor's schedule. The Director of Scheduling will also work closely with teams across the Executive Chamber to ensure there is strong execution for events and the Governor's movements.
Duties include, but are not limited to:
- Responsible for coordinating and overseeing all aspects of the Governor's scheduling including events, movements and travel.
- Manage a team that includes Deputy and Assistant Schedulers who support drafting and implementing the Governor's schedule.
- Participate in regular meetings and calls to execute and follow up on all tasks to support the Governor's calendar.
- Prepare agendas for weekly and monthly strategic planning meetings.
- Communicate with members of the Executive Chamber and various departments and agencies to ensure all meetings and events are effectively planned and managed;
- Coordinate with relevant stakeholders, including event contacts, program staff and advance staff on the Governor's role, event program, and transportation.
- Liaising with the Governor's Protective Service Unit (PSU) to ensure coordination in travel and schedules.
- Responsible for screening internal scheduling request forms submitted for internal and external meetings and event appearances and directing the flow of written responses.
- Provide continuous support to improve operations, streamline processes, and work cooperatively and jointly to provide quality customer service.
- As needed, create, and distribute the Governor's daily schedule, and monitor for changes, as necessary.
The position requires routine travel between Albany and New York City. Non-traditional working hours and availability by phone as needed.
Minimum Qualifications:
A bachelor's degree and minimum of 7 years of professional work experience. Previous experience managing the schedule for an elected official is required. Additional relevant experience may substitute for a bachelor's degree on a year for year basis. Managerial experience preferred, and working knowledge of government operations. Experience in New York State is preferred.
Additionally, the successful candidate should have the following knowledge, skills, and abilities:
- Proven ability to work independently and make sound judgments on a day-to-day basis, as well as make informed decisions on behalf of the scheduling team.
- Proficiency with both Google and Microsoft Office Suite.
- Ability to establish and maintain effective personal relationships with peers, supervisory staff, and other departments and agencies in a fast-paced environment.
- Display exemplary customer service and interpersonal skills.
- Ability to multitask and have exceptional attention to detail and be able to communicate effectively.
