Job Summary:

Gallery Systems is a global leader in cultural heritage and art business software solutions. We are seeking an experienced and strategic Operations Director to lead our Professional Services and Internal IT teams. In this role, you will report to the General Manager / CEO, oversee the Professional Services and Internal IT operational teams. You will be responsible for aligning the organization's operational efficiency and growth strategy with the support of the Professional Services and Internal IT operational teams.

Gallery Systems is looking for a dynamic leader who can drive operational excellence, streamline business processes, enhance service delivery, and ensure the successful execution of technology initiatives and customer engagements for the leading provider of cultural heritage and art business software solutions. Our successful candidate must possess a broad range of project management, technology and operational skills. You will need to collaborate with cross-functional teams, think strategically, understand business drivers, and be a resourceful self-starter.

Your responsibilities at Gallery Systems

  • Oversee the Professional Services department, ensuring alignment with strategic goals and operational excellence through process improvements across sales to deployment
    • Oversee the Professional Service Managers and their teams to ensure successful project delivery, including data conversions, training, and consulting.
    • Measure and optimize professional services utilization rates to ensure efficient resource allocation and profitability.
    • Drive organic growth by expanding the portfolio of professional services offerings and identifying new market opportunities.
  • Oversee the Internal IT Department, ensuring compliance with internal and external standards, while driving technology innovation, efficiency improvements and transformation initiatives
    • Deliver annual FedRAMP and ISO 27001 certifications
    • Champion ethical AI practices and ensure compliance with emerging AI governance standards.
    • Leverage AI and automation to streamline internal workflows, reduce manual processes, and enhance service delivery.
  • Take ownership of overall business revenue goals, collaborating with cross-functional teams to drive financial performance.
    • Measure and manage billable utilization of staff, ensuring optimal resource allocation, staff productivity, and profitability across projects
    • Set and monitor financial targets, including revenue, margins, and profitability for the professional services department. Ensure accurate forecasting, budgeting, and reporting.
    • Implement AI-driven analytics to monitor KPIs, forecast resource needs, and support strategic decision-making.
    • Promote a culture of continuous improvement, collaboration, and adaptability within Gallery Systems.
    • Collaborate with the VP of Customer Success and other internal leaders to ensure IT and professional services are aligned with customer success strategies, support clients in achieving their business goals, and efficiently manage and resolve IT incidents and problems.
    • Evaluate and integrate AI tools for IT operations (e.g., AIOps) and professional services (e.g., intelligent project scheduling, chatbots for support).

Your qualifications, experience and personal attributes

  • Bachelor's or Master's degree in Information Technology, Business Management, or a related field (advanced degree preferred).
  • Proven leadership experience in IT and professional services.
  • Strong background in IT strategy, project management and client service.
  • Experience in executing and managing change orders, ensuring that project adjustments are carried out efficiently and remain profitable.
  • Expertise in measuring and managing billable utilization of staff to maximize resource efficiency.
  • Excellent communication, strategic thinking, and team-building skills.
  • Proficiency in Microsoft Office 365 and Salesforce/CRMs.
  • Willingness to travel occasionally, including internationally.
  • Experience with AI/ML technologies, automation platforms, or data analytics tools (e.g., Power BI, Tableau, AI Agents, MCP Servers).
  • Familiarity with AI governance frameworks and ethical considerations in AI deployment.
  • Demonstrated success in leading digital transformation initiatives involving AI or emerging technologies.

Preferred Assets

  • Certifications: COO, CIO or PMP
  • Familiarity with Agile/Lean methodologies
  • Experience in museums, galleries, or the art world
  • Multilingual (especially French, German, or Spanish)
