PermCap is a $5.0bn multi-family office and endowment manager. The firm was founded in 2011 and employs 17 people full-time with offices in New York City, Charleston, South Carolina, and San Diego, CA.

Position

We are seeking a Director of Operations to lead and scale our operational infrastructure. This role is ideal for a hands-on operator with deep technical expertise and the strategic mindset to evolve alongside the firm. The Director will oversee a three-to-five person operations team responsible for all non-investment and non-client-facing functions, including trade support, reporting, treasury, compliance coordination, and data integrity. As PermCap continues to grow its AUM and client base, this individual will play a critical role in building a scalable, institutional-quality operations platform.

This role is in-person and may be located in Charleston, SC or New York, NY.

Responsibilities:

Client Reporting

  • Maintain data integrity and performance reporting for ETFs, mutual funds, single stocks, and alternative investments.
  • Oversee production, review, and deliver timely, accurate client reporting packages across families, foundations, and institutional clients.
  • Serve as a key point of contact for clients and portfolio managers regarding client report delivery and related questions.
  • Manage the full trade lifecycle across asset types and custodians, including execution, reconciliation, and settlement.
  • Coordinate with custodians and internal teams to ensure timely and accurate trade processing.

Treasury & Cash Operations

  • Oversee all treasury and custody operations, including wires, cash movements, capital calls, redemptions, and distributions.
  • Monitor and manage daily liquidity needs across client portfolios and custodians.

Investment Data & Reporting Systems

  • Evaluate and implement automation tools and AI-enabled solutions to enhance reporting accuracy and workflow efficiency.
  • Administer and maintain limited partnerships (LPs), including NAVs, capital activity, valuations and yearly audit.
  • Oversee daily investment operations and data flows across custodians, fund administrators, and platforms such as Addepar.
  • Lead client onboarding including account openings, custodial linkages, and data configuration.
  • Ensure accuracy and integrity of data outputs used by the investment team for performance analysis, positioning, and client reporting.
  • Build and refine SOPs and internal workflows to support operational scalability, control, and consistency.

Compliance & Legal

  • Oversee SEC regulatory compliance processes including KYC/AML, account reviews, and internal documentation.
  • Provide audit support, including the preparation of financial workpapers and coordination with fund administrators and external auditors.

Qualifications

  • 7–15 years of experience in investment operations, ideally at a multi-family office, outsourced CIO (OCIO), or investment advisory firm.
  • Understanding of Addepar (or other comparable performance software), custodial systems (Fidelity, Schwab, Pershing, etc.), and alternative investment workflows.
  • Strong working knowledge of limited partnerships, capital calls/distributions, audit processes, and NAV reporting.
  • Technically minded and process-driven, with a bias toward systems improvement and automation.
  • High attention to detail and comfort managing large data sets across multiple systems.
  • Strong communication skills, with the ability to interface across internal teams and external service providers.
  • Experience in managing multiple operations team members
  • Bachelor's degree required; advanced degrees or certifications (e.g., CFA, CPA, CAIA) are a plus.
  • Interest in emerging technologies, particularly in the areas of automation and AI, to improve operational efficiency and reporting.

Salary range $150,000-$250,000 based on experience.
