Director of Operations

Position OverviewThe Director of Operations will work closely with the Executive Director and be responsible for implementing, managing, and integrating all core operational functions of the organization. This includes overseeing internal systems, financial management, human resources, compliance, policy development, membership operations, stakeholder engagement, and event execution. At this formative stage, the Director of Operations will play a critical role in laying the foundation for Therapy First's continued growth. The right candidate will be adept at navigating complexity and nuance in a fast-paced, high-stakes environment. Success in this role requires the ability to work collaboratively across diverse perspectives in a highly charged and evolving landscape.
Responsibilities
- Work closely with the Executive Director to translate Therapy First's vision into strategic operational plans, timelines, and metrics, to monitor progress, and to lead cross-functional execution
- Lead process improvements to support the growth of the organization; Build and optimize systems for internal communication, task management, documentation, and data; Oversee tech stack (e.g., Google Docs & Sheets, WordPress, Zapier, Circle, Zoom) to enable efficiency.
- Manage budget planning, tracking, and reporting in collaboration with the Executive Director and the Board of Directors; Support fundraising efforts with operational data, projections, and cost analysis; Oversee contracts, vendor relationships, and fiscal compliance.
- Oversee staff development; Create HR policies, HR systems, and employee handbook; Oversee staff development, including recruitment and onboarding in collaboration with the Executive Director and the Board of Directors.
- Ensure compliance with nonprofit regulations, employment law, and privacy standards; Manage risk through robust policies, documentation, and internal controls; Maintain audit-ready records for grants, governance, and financial accountability.
- Coordinate logistics for member services, clinical trainings, public events, and programming; Oversee membership systems including onboarding, renewals, benefits, and engagement; Use data to evaluate program delivery and improve member experience.
- Serve as liaison to vendors, consultants, and stakeholders; Support development and advocacy initiatives with operational planning and relationship management; Represent Therapy First's operational voice in cross-sector collaborations.
- Lead planning and execution of retreats, conferences, and virtual/in-person events; Manage event budgets, venues, logistics, and evaluation.
- Identify and mitigate legal, operational, and reputational risks; Develop contingency plans and crisis response protocols; Support board governance through reporting, policy support, and strategic counsel.
Qualifications
- 5+ years of experience in nonprofit operations and organizational leadership.
- Proven ability to build and scale internal systems and cross-functional processes.
- Strong financial acumen, including budgeting and oversight of organizational spending.
- Experience creating and managing HR policies, compliance infrastructure, and risk mitigation.
- Exceptional interpersonal and communication skills; able to collaborate effectively with individuals across a range of viewpoints and professional backgrounds.
- Capacity to lead in a high-stakes and politically sensitive environment.
