We strive to increase degree completion, successful transfer, career achievement, and service and leadership within our community, New York City, and beyond.Reporting to the Assistant Vice President of Workforce Development and Continuing Education, the Director of Operations is responsible for managing operations, including budget compliance, fiscal reporting, managing internal operations (enrollment management and financial aid), project management, and client relations. They ensure the division meets its performance goals and financial growth targets, oversees administrative services, and supervise staff. Additionally, the Director of Operations implements budget controls, establishes objectives and key performance indicators, and encourages professional development within the division.The Director of Operations actively participates in staff, departmental and committee meetings, representing the AVP to ensure the division's interests are well represented. They are responsible for submitting accurate reports, revising procedures for effective operations, and ensuring compliance with College and CUNY policies. The role encompasses overseeing the administrative, project, and operational component of the division to include fiscal, human resources, facilities, IT, client relations, and operations. The Director of Operations also performs other related duties as delegated by the AVP.In addition to the CUNY Title Overview information, other key duties include, but will not be limited to the following:Manage comprehensive fiscal operations: Develop, monitor, and manage the annual budget for the Adult Continuing Education (ACE) department, including tax-levy, non-tax-levy, and grant funds. Forecast revenue and expenditures, providing regular financial analyses and projections to inform decision-making and ensure fiscal solvency.Oversee financial compliance and reporting for ACE related programs: Ensure strict adherence to financial regulations, manage all financial transactions, and prepare analytical reports for stakeholders and audits performed by grant or corporate funders. Collaborate with the main finance office at BMCC for internal and external financial reporting.Collaborates with HR financial processes: Supervise employee onboarding, timesheet management, and tracking of labor costs for continuing education staff.Optimize revenue generation: Track and report on program revenue, working with directors to ensure optimal resource use and budget adjustments.Provide administrative and operational oversight: Manage daily activities of department, develop policies, provide department reports, and oversee program delivery logistics including scheduling, resource allocation (e.g., classrooms, equipment), database management, facilities management, and record keeping.Manage bursar functions: Oversee departmental processes for billing, payments, and refunds, while also guiding marketing, outreach, and enrollment to meet revenue targets.Supervise and train staff: Lead finance and administrative support staff, ensuring adherence to procedures and high-quality customer service.Drive process improvement: Identify and implement strategies to streamline workflows, optimize resource utilization, and enhance operational effectiveness.Act as a key liaison: Coordinate between the ACE division and college business support areas, and oversee split revenue contracts, online continuing education, and MOU/partnership agreements. Coordinate within the department for special events, new initiatives, and special projects.QualificationsMINIMUMBachelor's degree and eight years' related experience required.PreferredAdvanced degree in public administration, higher education administration, or related fieldEight years' high-level administration, operations or organizational development experience in an institute or higher education setting with a strong track record of successfully managing various initiatives.Ability to think creatively and strategically, to anticipate business and financial trends and to transfer that thinking to interpret complex policies and procedures and apply them to routine and unique situations to effectively coordinate activities, meet administrative and operational needs, and ensure cost-effectiveness.Strong organizational, office and project management skills to understand complex operational processes, develop objectives, set priorities, adapt to changing priorities, manage competing demands, constant changes and meet deadlines for deliverables.Detail oriented and precise with strong research, writing, and analytical skills.Pro-active, flexible and collaborative work style with strong interpersonal communication, presentation and negotiation skills to forge successful relationships and partnerships with diverse campus and University faculty and staff, as well as external government and industry partners.Commitment to public service, service excellence, inclusion, equity and professional integrity to manage sensitive work, exercise sound judgement, with ability to thrive in a demanding, multi-faceted, and time-sensitive office.Flexibility to work some evening hours and occasional weekends.Extensive experience in fiscal management, specifically with complex, multi-source budgets, involving intricate forecasting, expenditure control, and reporting.Advanced proficiency with Microsoft Office Suite, especially Excel (including pivot tables, V-lookups, and advanced formulas).Cuny Title OverviewDirects financial and administrative operations of a College or major program.Oversees financial resources in a fiscally responsible manner and complies with various legal regulations and University policiesDevelops financial forecasting models to support strategic planning aligned with goals and initiativesRecommends and implements strategic college-wide policies to ensure financial compliance is maintainedOversees business analyses, budget projections, allocations, financial statements, and statistical reportsDevelops and manages relationships in regard to fiduciary responsibilities with external institutions, including government agencies, corporations, and funding entitiesPerforms related duties as assigned.CUNY TITLEHigher Education OfficerFLSAExemptCompensation And BenefitsSalary range is $124,656 - $132,987; Salary commensurate with education and experience.CUNY is in the process of implementing salary schedule increases.
