Job Description

Primary Responsibilities: The Director of Maintenance Dispatcher oversees the efficient execution of maintenance tasks across a large portfolio of single-family rental properties, ensuring high resident satisfaction, compliance with safety regulations, and operational performance optimization.

Skills & Competencies

• 8+ years in maintenance management, preferably in single-family rentals.
• Experience managing large volumes of work orders and maintaining operational efficiency.
• Managing geographically dispersed teams of maintenance technicians, contractors, and virtual assistants.
• Experience in fleet vehicle management and vendor relations.
• Knowledge of IBC building codes, safety regulations, and maintenance tasks for homes (plumbing, electrical, HVAC, etc.).
• Experience with Salesforce, SiteCapture, and maintenance systems preferred.
• Ability to analyze operational data for performance improvements.
• Understanding of Section 8, Lead, and Occupancy Inspections.
• Proven leadership and team development skills across regions.
• Excellent communication skills.
• Strong organizational and time-management skills.
• Experience in disaster planning and emergency response coordination.
• Certifications in trades or project management are a plus.

Essential Job Functions

• Manage approximately 3,000 work orders monthly, ensuring timely, quality service.

Team Management & Development

• Lead and develop trade specialists, dispatch teams, and virtual assistants.
• Monitor staffing ratios and performance.
• Provide leadership, training, and performance management.
• Foster a positive, collaborative work environment.

Operational Efficiency

• Use Salesforce and SiteCapture for work order management and performance tracking.
• Develop strategies to optimize fleet and technician utilization.
• Analyze operations for cost reduction and efficiency gains.

Resident Experience

• Prioritize resident satisfaction through quick responses and quality service.
• Manage after-hours call services.

Compliance & Safety

• Ensure compliance with all regulations, including Section 8 and safety standards.
• Coordinate disaster planning and emergency response.

Contract Management

• Manage maintenance contracts and vendor relationships.

Strategic Analysis & Reporting

• Provide operational reports and KPIs.
• Identify trends and develop improvement strategies.

Technology & Systems Management

• Leverage maintenance tools and develop new systems as needed.
• Ensure effective utilization of virtual assistants and dispatch teams.

Physical & Environmental Requirements

• Work in office, extended hours as needed.
• Communicate clearly in English.
• Readability and mobility requirements.
• Work effectively under stress and manage multiple tasks.
