POSITION OVERVIEW

The Director of Event Production produces, conceives, and delivers 50+ best‑in‑class cultural programs each year, operating on tight timelines and budgets that range from intimate salons to large‑scale productions. Success demands equal parts creative vision and rigorous production discipline. Every experience must feel bespoke to guests while running on‑time, on‑budget, and in total compliance with safety and brand standards.

REPORTING STRUCTURE & KEY PARTNERSHIPS

  • Reports to: Site General Manager (Miami or NYC)
  • Direct reports: Event Manager/s, Cultural Programming Associate, Production freelancers as required.
  • Key collaborators: President & Co-Founder, Director of Cultural Programming, Marketing Manager, Member Relations Director, Financial Controller, external production vendors, and talent agents.

DUTIES AND RESPONSIBILITIES

  • Own the full production lifecycle for all cultural programming events: concept, feasibility, budgeting, timeline, vendor procurement, build, show‑call, strike, and post‑production.
  • Direct and review productions materials developed by Event Manager/s and Associates including drafts of detailed event BEOs, run‑of‑show documents, cue sheets, and floorplans for each event. The ideal candidate would be familiar with luxury hotel operations and their corresponding departments.
  • Specify and oversee the design of technical elements: scenic design, staging, lighting, audio, video, live‑stream/record, and back‑of‑house workflows.
  • Lead vendor bidding and contract negotiation (AV, videography/photography, catering, contract staffing), including union labor, when applicable.
  • Secure venue spaces and coordinate logistics including permits, fire marshal approvals, insurance certificates, and health & safety compliance.
  • Maintain detailed production budgets and critical‑path timelines, hitting or beating target budgets while safeguarding creative integrity and guest experience. Work with finance team to reforecast, when necessary.
  • Champion innovation, efficiency, process improvements, and production practices, prioritizing reusable materials and supplies, and maintain ADA compliance.

Creative Ideation & Cultural Curation

  • Collaborate with Cultural Programming Stakeholders, including President & Co-founder and Director of Cultural Programming, to design a balanced and diverse annual calendar that spans film, dance, music, culinary, design, technology, wellness, and thought‑leadership—each underpinned by a compelling creative narrative.
  • Maintain a global watch‑list of emerging talent, curators, and cultural trends; pitch innovative event concepts in regular strategy reviews.

Talent Acquisition & Partnerships

  • Collaborate with President & Co-founder to source, negotiate, and contract headline talent, moderators, and institutional partners to secure programming with media impact.
  • Nurture relationships with cultural institutions, conferences, festivals, and production houses to unlock co‑created experiences and brand partnerships.

Budget & Performance Analytics

  • Manage the departmental P&L, aligning each program with planned budget guidelines and member‑engagement KPIs.
  • Conduct weekly review of post‑event financials with production team and other collaborators.
  • Drive continuous improvement through data‑led insights.
  • Recruit, train, and mentor a high‑performing production team and freelance support staff, fostering a culture of creativity, accountability, and operational excellence.
  • Uphold Faena brand standards across all guest‑facing and behind‑the‑scenes touchpoints.

SKILLS & ABILITIES

  • Event Production Mastery: 8+ years leading complex, multi‑disciplinary live events (50-400 pax) in premium hospitality, cultural, or entertainment settings.
  • Technical Fluency:Familiarity with AV systems, lighting design, staging, live‑stream platforms, Floorplan design, and project management tools (Trello, ClickUp).
  • Vendor & Contract Management: Skilled in RFP creation, contract negotiations, familiarity with union labor guidelines, and optimization.
  • Budgetary Discipline: Demonstrated ability to manage six‑ to seven‑figure production budgets with strict accountability.
  • Guest‑Centric Mindset: Designs experiences through the lens of member delight, accessibility, safety, and narrative immersion.
  • Calm Under Pressure: Maintains composure and solution‑orientation in live‑show environments with multiple stakeholders and tight turnarounds.
  • Communications Excellence: Clear, persuasive verbal and written communication; strong copywriting for program synopses, scripts, and marketing briefs.
  • Cultural Literacy: Informed by global arts, design, wellness, and thought‑leadership trends; able to translate macro‑cultural movements into engaging member programming.

SUCCESS METRICS

  • Year‑over‑year growth in member attendance and net promoter score (NPS) greater than 90%.
  • Positive media/press sentiment and social amplification of key programs.

QUALIFICATIONS

  • Bachelor's degree in Event Production, Arts Management, Theatre Production, or related discipline or commensurate professional experience.
  • Minimum 8–10 years senior‑level event production, with at least 3 years in a leadership role overseeing full‑cycle budgeting and team management.
  • Proven portfolio of high‑profile cultural events, festivals, or hospitality activations demonstrating creative storytelling and flawless execution.
  • Ability to work evenings, weekends, holidays, and travel between Miami and NewYork as program calendar demands.
  • OSHA 30, Crowd Safety, or equivalent certification preferred.
