Job Title: Director of Club Program Operations

LOCATION: Permian Basin (Midland & Odessa)

FULL-TIME POSITION: 40 hours/week

FLSA Status: Exempt

HOURS OF OPERATION: Monday - Friday

WORK SCHEDULE: 9am - 5:30pm (with flexibility options), occasional nights & weekends

REPORTS TO: Executive Director/CEO

Summary:

The Director of Club Program Operations is responsible for overseeing and effectively delivering youth development programs and services across the Boys & Girls Clubs of the Permian Basin. This role includes staff and volunteer onboarding, community partnerships, program implementation, grant compliance, and serving as the initial point of contact for Club Directors regarding parent and youth concerns. The Director ensures high-quality programming that aligns with the organization's mission and Boys & Girls Clubs of America (BGCA) standards.

Duties and Responsibilities:

  • Staff Onboarding:
  • Develop and implement onboarding procedures for new program staff to ensure they are trained and prepared to serve youth in the Club
  • Coordinate training on youth development principles, Club policies, and program curricula.
  • Collaborate with the Director of Facilities and Safety for ongoing safety training of club staff and volunteers.
  • Volunteer Engagement and Onboarding:
  • Develop and implement strategies for volunteer recruitment, training, supervision, and recognition.
  • Oversee the onboarding process for volunteers, including background checks, orientations, and program assignments.
  • Support Club Leadership with the implementation of the volunteer program based on the needs of each club individually.
  • Community Partnerships:
  • Establish and maintain relationships with community partners to enhance program offerings and provide comprehensive support to youth and families, as well as club staff.
  • Collaborate with partners to develop and implement family and youth-focused programs within the Club.
  • Program Implementation and Monitoring:
  • Oversee the implementation of BGCA programs and curricula, ensuring fidelity and quality.
  • Monitor program delivery, evaluate effectiveness, and recommend improvements.
  • Provide training and support to Club staff on program implementation and best practices.
  • Grant Programming and Data Tracking:
  • Oversee the tracking of program data and outcomes for grant reporting purposes in collaboration with the Grant Coordinator
  • Ensure accurate and timely collection and reporting of required data.
  • Monitor program outcomes to ensure grant objectives are met.
  • Collaborate with team members to celebrate and show appreciation for grant funders.
  • Point of Contact:
  • Serve as the first point of contact for Club Directors to escalate and address parent and youth concerns, facilitating communication and resolution, including the Executive Director as needed.

Qualifications:

  • Bachelor's degree from an accredited college or university, or equivalent experience.
  • A minimum of five years work experience in a Boys and Girls Club or similar organization preferred, planning and supervising activities based on the developmental needs of young people, with an additional two years of experience managing and supervising a team.
  • Experience in staff supervision and volunteer management.
  • Strong communication, interpersonal, and organizational skills.
  • Ability to work collaboratively with staff, volunteers, community partners, and youth.
  • Knowledge of BGCA programs and standards is preferred.
  • Experience with grant reporting and data tracking is preferred.
  • Demonstrated ability to handle sensitive situations and address concerns effectively and professionally.
  • Ability to establish and maintain effective working relationships with Club staff, subordinates, Board members, community groups, and other related agencies
  • Must pass National Criminal Background Check and Drug Test

RELATIONSHIPS:

Internal: Maintains close contact with assigned Directors and other staff to provide technical assistance in matters of programming and operations; interacts regularly with the Executive Director and as assigned with the Board and its Committees.

External : Maintain oral and written contact with other agencies, potential/current donors, business leaders, community groups, school officials, and the media to increase awareness and community involvement of the organization.

Additional Notes:

  • This position will require occasional travel to conferences and learning settings at the local, regional, state, and national level.
  • This position will require travel between Midland & Ector County to visit club sites.
  • Remote work from different locations will be required with flexibility in working hours need due to club service hours, community events and organization events

This position will work primarily indoors with outdoor activities when weather permits.
