Director of Alumni Relations – Staff Position

JOB SUMMARY: Reporting to the Vice President for Advancement; this position is responsible for developing relationships with alumni of William Penn University and coordinating the Alumni Association. The role involves establishing contact with alumni, parents, and students through travel, events, activities, and long-term projects to engage constituents and support advancement initiatives and campaigns.

DEPARTMENT: Advancement

QUALIFICATIONS: Proficiency in Microsoft Office and Excel. Strong interpersonal skills, organizational abilities, attention to detail, and time management. Ability to prioritize multiple tasks in a team-oriented environment. Willingness to travel and work occasional evenings and weekends.

EDUCATION: Bachelor's degree preferred but not required.

ABILITIES:

  • Office management and coordination skills.
  • Independent decision-making, good judgment, accuracy, flexibility, and critical thinking.
  • Ability to work amidst shifting priorities, interruptions, and a fast-paced environment with high interaction levels.
  • Working knowledge of computer software such as Word, Excel, and mainframe systems.
  • Excellent written communication skills, including proficiency in business English, grammar, punctuation, and spelling.
  • Discretion in handling confidential matters.
  • Ability to work independently and collaboratively to meet deadlines.
  • Customer service skills, including reception etiquette.
  • Proficiency with office machines like fax, scanner, and copier.

REPORTS TO: Vice President for Advancement

PERFORMANCE RESPONSIBILITIES:

  • Promote an educational focus aligned with Quaker principles: simplicity, peace-making, integrity, community, and equality.
  • Represent the College positively to prospective, current, and former students, employees, and the community.
  • Demonstrate enthusiasm, self-motivation, and a positive attitude in interactions.
  • Interpret departmental and college policies.
  • Collaborate harmoniously with others.
  • Support student learning through performance.
  • Increase visibility of WPU via alumni activities.
  • Write monthly feature stories to highlight alumni successes.
  • Make personal visits (aiming for 15 face-to-face contacts per month).
  • Maintain alumni records in the CAMS system.
  • Compile and deliver the monthly Statesmen Scoop.
  • Coordinate the compilation of the Bulletin.
  • Organize alumni association board/council meetings.
  • Manage the Booster Club program.
  • Organize the Blue & Gold Ceremony at Commencement.
  • Plan alumni-related events for Homecoming, reunions, and recognition activities.
  • Coordinate Hall of Fame and other alumni recognition nominations.
  • Develop and organize monthly alumni events.
  • Manage alumni communication via social media professionally.
  • Lead regional alumni events coordination.
  • Assist with special events within the Advancement Office.
  • Develop campus activities to support enrollment growth and revenue.

EVALUATION: Performance will be assessed according to William Penn University's policies.
