Director of Alumni Relations – Staff Position

JOB SUMMARY: Reporting to the Vice President for Advancement; this position is responsible for developing relationships with alumni of William Penn University and coordinating the Alumni Association. Establish contact with alumni, parents, and students through travel, events, activities, and long-term projects that purposefully engage and involve constituents, building relationships towards advancement initiatives and campaign activity.

DEPARTMENT: Advancement

QUALIFICATIONS: Proficiency in Microsoft Office and Excel. Strong people skills, demonstrated organizational skills, attention to detail, and time management skills. Ability to work in a team-oriented office environment with the capacity to prioritize multiple tasks. Willingness to travel and work occasional evenings and weekends.

Education: Bachelor's degree preferred, but not required.

Abilities:

  • Office management and coordination abilities.
  • Independent decision-making, good judgment, accuracy, flexibility, and critical thinking skills.
  • Ability to adapt to shifting priorities, interruptions, and a hectic pace with high interaction with students, staff, and the public.
  • Working knowledge of computer software such as Word, Excel, and mainframe systems.
  • Excellent written communication skills, including proficiency in business English, grammar, punctuation, and spelling.
  • Discretion in handling confidential matters.
  • Ability to work independently and collaboratively to meet deadlines.
  • Excellent customer service skills, including phone and in-person etiquette.
  • Proficiency with office machines like fax, scanner, and copy machine.

REPORTS TO: Vice President for Advancement

PERFORMANCE RESPONSIBILITIES:

  • Provide education with a Leadership and Technology focus, aligned with Quaker principles of simplicity, peace-making, integrity, community, and equality.
  • Represent the College positively to prospective, current, and former students, employees, and the community.
  • Demonstrate enthusiasm, self-motivation, and a positive attitude in interactions.
  • Interpret departmental and college policies and procedures.
  • Work harmoniously with others.
  • Perform in a manner that benefits student learning.
  • Increase visibility of WPU through alumni activities.
  • Compose monthly feature stories to highlight alumni successes.
  • Conduct 15 face-to-face personal visits per month.
  • Maintain alumni records in the CAMS system.
  • Compile and deliver the monthly Statesmen Scoop.
  • Coordinate the compilation of the Bulletin.
  • Organize and coordinate alumni association board/council meetings.
  • Manage the Booster Club program.
  • Organize the Blue & Gold Ceremony at Commencement.
  • Plan and execute Homecoming activities, including reunions, author & artist events, and the Recognition Banquet.
  • Coordinate Hall of Fame and other alumni recognition nominations.
  • Develop, organize, and coordinate monthly alumni events and activities.
  • Represent the University to alumni via social media professionally.
  • Lead coordination of regional alumni events.
  • Assist with special events within the Advancement Office.
  • Develop and promote campus activities for enrollment growth and revenue.
  • EVALUATION: Performance will be evaluated per policies established by the William Penn University Board of Directors.
