Our programs empower people with IDD to form meaningful friendships with their peers, secure jobs, improve communication and advocacy skills, and live independently, while also offering support for their families.Job Title: Director, ConferencesDepartment: State Programs and OperationsReports to: Vice President, Mission Operations & Conferences# of direct reports: 4-8 conference interns, as neededPosition Overview: The Director, Conferences is responsible for supporting the Vice President, Mission Operations & Conferences in strategy planning, coordination, and execution of Best Buddies' annual Staff Leadership Conference (SLC) and Leadership Conference (BBLC), as well as additional training events and organizational convenings. This role plays a key part in ensuring the successful delivery of high-impact, mission-aligned events that support staff development, program expansion, and volunteer engagement.Job Qualifications

  • Volunteer management/supervisory experience, and superior talent-building and team-building skills [MT1] [SB2] .
  • At least five years of program development and/or training experience
  • Exceptional project management skills including planning, analysis, decision making, and problem solving – and willingness to multitask
  • Large scale event planning and/or multi-day conference coordination experience a plus.
  • Superior ability to transfer abstract ideas into concrete written materials
  • Superior initiative, drive for results, self-assessment skills, and ability to lead individuals and teams in setting and achieving challenging goals
  • Must be highly dependable, lead by example, and be willing/able to adapt support style to fit the situation and hold staff accountable for meeting set expectations.
  • Superior presentation skills with the ability to exert influence, inspire others, and articulate the mission, goals, and activities of Best Buddies with passion and enthusiasm
  • Frequent national and international travel required; availability to travel and work nights and weekends as required
  • Proficiency with Microsoft Office and database programs
  • Bachelor's degree or at least 4 years' relevant experience in addition to above experience
Job DutiesJob Duties include, but are not limited to:Programs
  • Collaborates closely with Mission Pillar teams to ensure volunteer training is consistent and high-quality , aligning conference content and activities with overall mission objectives and program growth strategies.
  • Manages key logistical components of BBLC, including intern recruitment and supervision, safety and security protocols, housing arrangements, travel coordination, ground transportation, and on-campus logistics.
  • Supports BBLC onsite logistics by recruiting, assigning, and managing staff and volunteers , ensuring smooth event operations and a positive experience for all participants.
Fund Development
  • Assists with BBLC sponsorship management efforts and developing compelling conference sponsorship materials to engage and retain partners.
  • Collaborates with the Best Buddies Grants team to identify and pursue funding opportunities that support organizational training support.
Marketing
  • Leads internal communications to effectively prepare staff and volunteers for BBLC and SLC, ensuring timely and clear messaging.
  • Supports conference-related communications across internal and external channels, including website content management and social media engagement.
  • Partners closely with the International Programs team to ensure BBLC communications are culturally appropriate, translated as needed, and delivered on a timeline that meets the needs of attendees.
Operations
  • Supports the Vice President, Mission Operations & Conferences with contract management and venue coordination to ensure seamless conference planning and execution.
  • Assists with logistical planning and coordination for the Leadership Summit, Mission Pillar Trainings, Signature Events and Development Universities, overseeing timelines, resource allocation, vendor partnerships, and cross-departmental collaboration to ensure seamless execution and strong alignment with Best Buddies' strategic mission and goals.
  • Partners with the leadership team to design and implement comprehensive staff preparation and coordination efforts for conferences, including content development and innovative educational offerings aimed at engaging new audiences.
  • Evaluates and applies diverse training delivery methods (webinars, conference calls, in-person sessions, and outsourcing) to develop tailored strategies that effectively meet organizational communication and training needs.
  • Leads and manages conference logistics teams for both SLC and LC, continuously assessing support requirements to guarantee sufficient staffing and volunteer resources.
  • Collaborates with the Vice President, Mission Operations & Conferences and department teams to develop and roll out new learning initiatives, including regional trainings and global forums that expand Best Buddies' mission impact.
  • Supports the Vice President, Mission Operations & Conference and plays a key role in the annual coordination of SLC, overseeing specific planning elements such as educational agenda coordination, speaker scheduling, agenda publication, and staff registration and communications.
  • Assists in the design, implementation, and review of post-event evaluations completed by participants and staff, analyzing feedback to identify opportunities for improvement and innovation.
Human Resources
  • Manages intern recruitment, screening, hiring, training, and ongoing supervision, ensuring compliance with Best Buddies' policies and guidelines, and oversee accurate tracking of intern hours and timecards in coordination with Human Resources.
