GENERAL PURPOSE:

The Director, Building Systems/Compliance and Lease Management is responsible for overseeing the maintenance, compliance, and operational integrity of all critical building systems in a predominantly owner-occupied property. The role focuses on ensuring regulatory compliance, managing vendor relationships, and supporting capital and expense planning for essential infrastructure, including boilers, fire alarms, fire sprinklers, standpipes, and fire water tanks. The position also includes limited lease administration responsibilities for ground-floor retail tenants.

The base salary/pay range for this role is $115,200 - $216,600. The base salary/pay range is dependent on factors including, but not limited to, experience, skills, qualifications, relevant education, certifications, seniority, and location. The range listed is just one component of the total compensation package for employees. Other rewards vary by position and location.

ESSENTIAL FUNCTIONS:

Building Systems Maintenance & Compliance

• Oversee scheduled preventative and predictive maintenance for all systems including but not limited to boilers, fire systems/sprinklers/tanks, standpipes and elevators.

• Ensure all systems are maintained in accordance with NYC codes and industry standards.

• Supervise all required inspections, testing, and certifications.

• Manage up-to-date records of all permits, licenses, and inspection reports.

• Respond to and resolve any violations or compliance issues promptly.

Vendor & Contract Management

• Manage relationship of all third-party vendors, provide direction and act as point of contact for system maintenance/repairs.

• Set the standard an reinforce standards of service; ensure all work is performed to highest standards and within approved budgets.

• Maintain inventory of supplies and spare parts for emergency and routine repairs.

Regulatory and Safety Oversight

• Develop and implement procedures for regulatory drills and inspections (e.g., fire drills, evacuation procedures).

• Manage the coordination of all building inspections with city agencies to ensure full compliance with local laws and regulations.

• Direct vendors and consultants to ensure all work is carried out on time. When necessary, source and vet new vendors as needed.

• Lead, monitor and communicate any changes in regulatory requirements to supervisor and senior business leaders.

Budgeting & Financial Planning

• Own annual capital and operating budgets related to building systems.

• Track expenses and forecast future capital needs for system upgrades or replacements.

• Develop long-term master planning and 5-year capital improvement strategies.

• Assist with the preparation of funding packages to support replacements and upgrades in the building.

Lease Administration (Retail Tenants Only)

• Maintain lease abstracts and ensure compliance with lease terms.

• Ensure all tenants comply with financial, and non-financial, lease obligations.

• Provide oversight, for Ross, on all tenant improvements and alterations, including permitting and approvals.

• Collect and track certificates of insurance and other required tenant documentation/permits related to the construction or operation in the space.

• Oversee rent billing, collections, and lease exit processes including producing and distributing monthly rent statements and assisting with the invoices and collection from building tenants.

QUALIFICATIONS AND SPECIAL SKILLS REQUIRED:

• B.S. degree in Engineering, Architecture or Construction, or related field, with minimum of 10 +years' experience preferably in NYC.

• Strong knowledge of NYC building codes, FDNY regulations, and DOB permitting processes.

• Experience with fire protection systems, mechanical systems, and boiler operations.

• Proficiency in vendor management and contract administration.

• Budgeting and financial planning experience required.

• Excellent organizational and communication skills.

• Strong time management skills.

• Self-starter with ability to work independently under minimal supervision.

• Ability to manage multiple priorities and work under pressure.

• Proficient with CMMS software and Microsoft Office Suite.

PHYSICAL REQUIREMENTS/ADA:

Job requires ability to work in an office environment, primarily on a computer.

Requires sitting, standing, walking, hearing, talking on the telephone, attending in-person meetings, typing, and working with paper/files, etc.

Consistent timeliness and regular attendance.

Vision requirements: Ability to see information in print and/or electronically.

This role requires full-time in-office presence, including to engage in in-person team interaction, meetings and collaboration, client support, mentoring, coaching, and/or feedback.
