Desktop Publisher And Administrative Assistant
We are a consulting firm looking for a detail-oriented and reliable Desktop Publisher and Administrative Assistant to join our team. The ideal candidate will have experience with Adobe Creative Suite, including InDesign, Illustrator, Acrobat, and Photoshop, and will be skilled at executing tasks based on specific directions from the owner. This role requires competency in performing fundamental tasks using Microsoft Office (Word, Excel, PowerPoint, and Outlook) and a strong focus on precision, organization, and following detailed guidelines to produce work that aligns with the owner's vision, client requirements, and the nature of the business.
Responsibilities:
- Utilize Adobe InDesign, Illustrator, and Photoshop to prepare, produce, edit, format, and assemble manuals, handbooks, forms, posters, bulletins, exhibits, and presentation materials according to set guidelines and specifications.
- Utilize Adobe Acrobat to prepare, edit, and secure PDF documents for distribution.
- Utilize Microsoft PowerPoint to assist in constructing presentations for web meetings.
- Utilize Microsoft Word for word processing and assist with typing and editing reports, proofreading, and performing quality checks prior to client distribution.
- Provide general administrative support in maintaining job and project calendars, answer phones, respond to emails, and update process guides, as needed.
- Ensure all work aligns with company branding and vision from the company owner.
- Manage contacts, assist in maintaining office organization and supplies, and provide support and technical assistance as needed, ensuring smooth day-to-day operations.
- Utilize and perform revisions and quality checks on office and technical process guides, ensuring they are accurate and updated.
- Personal and professional integrity and ability to handle private and confidential business and client information required.
- Ability to report and track time and expenses daily by multiple projects and multiple clients.
- Requires a combination of precision, accuracy, self-initiative, and flexibility.
- Must be able to manage, track, and report progress, and complete complex multiple tasks and multiple projects.
- Professionally communicate daily goals and accomplishments, project status, and issues/areas of challenge.
- Assure computer system file compatibility and duplication as back up.

Requirements:
- Demonstrated proficiency in Adobe Creative Suite (InDesign, Illustrator, Photoshop, Acrobat).
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Experience in desktop publishing, word processing, spreadsheets, and administrative duties.
- Ability to manage multiple projects and meet deadlines while maintaining accuracy.
- Strong organizational skills and attention to detail.
- Ability to follow clear, precise instructions and execute tasks as directed.
- Excellent communication skills, both written and verbal.
- Excellent interpersonal relation skills with coworkers and clients.
- Associate and/or bachelor's degree in graphic design or related field or equivalent experience.
Useful skills:
- Knowledge of tablet and notebook computer systems is helpful.
- Understanding and ability to perform video editing using Adobe Premiere and/or other editing software.
- Fluency in Spanish, including the ability to speak, write, and translate (bilingual).
