JOB SUMMARY This position provides highly responsible secretarial, administrative, and clerical support to the City Clerk. Work involves performing a variety of administrative functions and frequently interacting with all levels of City government, external agencies and businesses, the media, and the public. This role requires discretion, professionalism, and the ability to manage sensitive information. ESSENTIAL JOB FUNCTIONS
  • Support the vision, mission, and principles of the City and the City Clerk's Office.
  • Prepare and assist with reports, correspondence, agendas, agenda packet materials, and other documents in the absence of the City Clerk.
  • Transcribe minutes for City Council meetings, the Accident and Safety Committee, and retirement board meetings.
  • Maintain adopted resolutions and ordinances and ensure distribution to all departments.
  • Assist in preparing ordinances and resolutions proposed by the governing body; notify the legal organ of meeting dates and times.
  • Process Open Records Requests via JustFOIA in accordance with Georgia Open Records (Sunshine) Laws.
  • Attend all meetings of the Mayor and Council, staff meetings, retirement board meetings, and retreats in the absence of the City Clerk.
  • Coordinate meeting and retreat logistics, including reservations and travel arrangements.
  • Assist with training registrations, process expense reports, and handle invoices for the Executive Office and Mayor and Council.
  • Establish and maintain both manual and electronic files and records.
  • Manage and maintain the City's records retention schedule.
  • Operate general office equipment, including personal computers, phones, copiers, and printers, as well as software applications such as word processing, spreadsheets, and databases.
  • Perform other related duties as assigned.
MINIMUM QUALIFICATIONSEducation and Experience: Associate's degree in business, public administration, or a related field, with at least three (3) years of progressively responsible experience in executive-level secretarial or administrative support roles; or an equivalent combination of education and experience. Preferred Qualifications: Georgia Clerk's Certification or the ability to obtain certification within three (3) years of employment. Knowledge, Skills, and Abilities:
  • Ability to analyze, evaluate, and interpret data using established criteria and exercise discretion in determining appropriate actions.
  • Strong interpersonal skills with the ability to influence, supervise, and collaborate effectively.
  • Proficiency in operating office equipment and related software applications.
  • Ability to manage and prioritize multiple tasks efficiently.
  • Proficiency in basic mathematical operations, including percentages, fractions, and graphs.
  • Ability to apply problem-solving techniques using logic, judgment, and creativity.
  • Sound decision-making skills in subjective and situational contexts.
PHYSICAL DEMANDS This is primarily sedentary work requiring occasional exertion of up to 10 pounds of force. The role requires the following physical capabilities:
  • Hearing: Ability to perceive normal speech and distinguish sounds for communication.
  • Mental Acuity: Ability to make sound decisions using logical and deductive reasoning.
  • Repetitive Motion: Frequent use of wrists, hands, and fingers.
  • Visual Acuity: Have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and/or extensive reading.
  • Speaking: Ability to communicate clearly and effectively with others.
