Job Summary:

The Department Coordinator will support the Chairman/Director with academic and administrative needs, assist vascular neurologists with programming, and coordinate daily activities for the Department of Neurology.

Responsibilities:

  • Schedule meetings, coordinate practice schedules, book conference rooms, set up teleconferences, and prepare materials and binders.
  • Order supplies for administrative offices and residents.
  • Coordinate daily activities of the Department of Neurology.
  • Work with the Residency Coordinator to provide ad hoc support, including recruitment efforts such as interview arrangements, credentialing, and onboarding.
  • Conduct daily check-ins with the Residency Coordinator regarding upcoming meetings and issues.
  • Maintain daily census records.
  • Keep state licenses, DEA, and NIHSS certifications up to date.
  • Save CME credits for Dr. Singh and Sahni on shared drives, accessed through EEDs/AAN/AHA.
  • Order office supplies via Staples; purchase pantry items with petty cash or departmental funds.
  • Assist department physicians as needed.
  • Keep all calendars, passwords, and memberships current.
  • Schedule and coordinate all meetings, including virtual meetings with A/V support at Skyline & WMC Campus.
  • Manage WMC travel expenses and catering requests.
  • Handle reimbursements for licenses, conferences, and memberships by completing and submitting the Travel and Expense Reimbursement Form.
  • Work on coverage schedules for inpatient, consult, and outpatient services with physicians.
  • Schedule monthly stroke meetings and record minutes.
  • Coordinate Locum coverage for Telestroke services.
  • Upload Stroke Service and Tele-stroke schedules to Google Share Drive and email to the team.
  • Qualifications/Requirements:

  • 1-2 years of administrative experience required.
  • Associate degree required; BS/BA preferred.
  • N/A for licenses/certifications.
