The Department Administrator II works with the TNPRC Associate Director and Division Chair to oversee administrative management of the Division of Veterinary Medicine and is an integral member of the Division of Veterinary Medicine leadership team. The Department Administrator II acts as a principal advisor to the Assistant Directors, and Chair, Division of Veterinary Medicine on administrative issues related to animal resources and is organizationally at the level of Assistant Directors within the Division of Veterinary Medicine. As such, the Department Administrator II plays a critical role in administration, development, and regulatory compliance of the Division of Veterinary Medicine. The Department Administrator II manages all Division administrative activities and has shared responsibilities with other senior management personnel for financial affairs, operations, planning, human resources management, staff training and development of operational procedures within the Division of Veterinary Medicine. This position also functions as Head of the Administrative Resources Unit and is responsible for managing the operations of the Administrative Resources Unit within the Division of Veterinary Medicine (two accountants, executive secretary, administrative secretary, project assistant and records manager), which includes personnel management (recruiting, hiring, training, allocation of duties and administering performance reviews). The Administrative Resources Unit provides support for all other units within the Division of Veterinary Medicine as well as collaboration with other Divisions and areas of the TNPRC including specific aspects of regulatory compliance for the TNPRC animal care and use program (animal records, post approval monitoring, and adequate animal care staffing), administration of the Office of the Chair in the Division of Veterinary Medicine, administration of the Tulane time and attendance policy for nonexempt staff (100) and generation of project and animal work schedules for faculty and staff. The Department Administrator II, as the leader of the Administrative Resources Unit within the Division of Veterinary Medicine, acts as liaison to other TNPRC Divisions and Tulane University Human Resources, Tulane Talent Acquisition and Tulane Payroll Department, and coordinates the needs of the many standing committees in the Division. Responsible for all hiring process for faculty, staff and post doc positions in the Division, utilizing Tulane systems and partnering with Tulane hiring departments for successful in a timely manner. Manages financial purchases for the Division, utilizing Concur and J.P. Morgan Chase p-card systems. Able to function as back up TNPRC Procurement Specialist. The Departmental Administrator II serves as communications manager for the Division and is simultaneously able to handle confidential information and maintains confidentiality relating to operations in the Division of Veterinary Medicine and research programs of core and affiliate (outside investigators) scientists. The Department Administrator II screens and provides information and feedback to the TNPRC Associate Director and Chair of the Division of Veterinary Medicine on hiring and salary determination for staff in the Units of Clinical and Research Medicine, Compliance and Training, Collaborative Research, Animal Resources, and Behavioral Management. • Specific precautions against and/or be immunized against potentially hazardous agents are required. • Demonstrated excellent oral and written communication skills • Intermediate proficiency with Microsoft Word, Excel, Power Point, and Adobe programs • Must be highly organized, self-motivated, and able to function in a complex academic setting • Ability to work and make decisions independently • Maintain confidentiality, integrity, and discretion in the performance of all duties • Proven ability to effectively establish priorities • Demonstrated ability to interact professionally and courteously with individuals with a diverse background • The TNPRC maintains biosafety level 3 facilities and performs work on diverse infectious agents many of which can cause serious disease in humans if standard operating procedures, including use of appropriate personal protective equipment, are not followed. Depending on agent specific risk assessments individuals may be offered, or in some cases required to have vaccinations against the relevant agents. • If this position is assigned to work in ABSL3 containment areas, there will be additional minimum requirements including some or all the following: • Must pass a US Department of Justice Security Risk Assessment for access to select biological agents and toxins. • Ability to perform job duties while wearing respiratory protection. • Must participate in drug and alcohol program and be in compliance with TNPRC drug and alcohol policy • Bachelor's Degree with 3 years of relevant experience OR • High School Diploma (or Equivalent) with 9 years of relevant experience • Demonstrated familiarity with Tulane systems (Concur, Kronos, HCM) • Expert proficiency with Microsoft Word, Excel, Power Point, and Adobe programs
