Description of JobAbout the Work Unit
This work unit exists to provide technical support and training, to establish standards and procedures and collect, compile, and disseminate information within the Region's Maintenance Section MLOS budget for the Mechanic Shop and Weld Shop in the following areas (which include but are not limited to): Plant Maintenance (PM), SAP work orders, Equipment Management System (EMS), Geotab Reporting, Small Dollar purchasing (SAP, SRM, ONBASE), SAP timesheets and assist with Storeroom Planning with (SRM).
About the Position
The Technician III provides technical support to the Maintenance Superintendent, Deputy Maintenance Superintendent, LTC OPS I and Mechanic Shop Employees. This position supports the Maintenance Section 6 Mechanic Shop in entering and verifying data including collecting, tracking, verifying, and entering Shop preventative and fleet repair data including work orders, fuel consumption, mileage, equipment replacement, Geotab Coordination and reporting, and other data. This position is responsible for the accurate reporting practices in SAP and other means to maintain the Equipment Management System (EMS) data for our fleet in service, as well as for maintenance scheduling and equipment replacement. The Technician assists Mechanic and Weld Shop staff and maintenance patrols with effectively maintaining and documenting work done through the Preventative Maintenance Work Order Program. This position performs back-up support, for storeroom operations. This position will be required to provide back-up support on roadway emergencies on occasion as needed.
Your duties and responsibilities will include, but are not limited to, the following:
Mechanic Shop Data Support
Enter vehicle and equipment meter readings into SAP, which aids in tracking fuel consumption, tire life, as well as other equipment related expenditures.
Collect, verify, procure, and process repairs and parts shopping carts, invoices, and transactions.
Collect, verify, and submit Equipment Management System (EMS) data regarding fleet repair and preventative work orders to ensure responsible cost center equipment assignments.
Perform Geotab Coordination for Onboarding/Offboarding employees including reporting for Pre/Post Trip, Defensive Driving, Speeding and Seat Belt Usage to senior staff, supervisor and the Junior Shop Foreman.
Monitor State Fleet mileages and notify drivers when vehicle is due for service based upon miles driven.
Monitor and track annual service intervals for equipment, notifying appropriate person when service is due and ensuring work is performed in a timely manner.
Utilize CARS program to track recalls on vehicles, track annual miles via utilization management, run reports, and track work orders for verification of service completion.
Research and report information in response to questions from shop mechanics, welders, and patrol staff related to the Plant Maintenance Module for preventative maintenance and other modules that communicate with the Plant Maintenance module.
Answer questions from shop mechanics and support staff related to work orders.
Implement Shop office procedures and processes per supervisor's directions.
Implement forms and reports to streamline operational reporting per supervisor's directions.
Administrative Support
Collect, compile, and disseminate information within the Region's Maintenance Section 6 Maintenance Level Of Service (MLOS) budget for Mechanic and Weld Shop in the following areas (which include but are not limited to): Plant Maintenance (PM), SAP work orders, Equipment Management System (EMS) and SAP timesheets, SRM & Work Order Requisitions.
Provide administrative support to Mechanic and Weld Shop staff.
Inventory, order and track Shop consumables.
Issue and track Annual Oversize/Overweight (OS/OW) Permits for Section Heavy Fleet and Special Transport Permits.
Maintain new Shop Record Management System including Shop Specific Certification Tracking for Federal Motor Safety Carrier Administration (FMSCA) requirements.
Backup Storeroom Duties
Assist the Storeroom staff to maintain and operate the Section 6 Storeroom during absences and times of high demand.
Assist with the coordination for field maintenance personnel, Region Business Office, and other CDOT staff to ensure Region wide and Statewide consistency with product price agreements and purchasing rules.
Assist in the development of storeroom product standards and sources for Storeroom inventory as assigned.
Assist with Storeroom purchase order requests from supervisor and create/input Purchase Orders into the SRM system.
Timekeeper
Serve as timekeeper for Mechanic and Weld Shop
Track and answer employee questions regarding the completion of required paperwork, leave usage, timekeeping requirements, proper coding and timesheet submittal
Assist new employees with documenting time worked in the SAP time sheet and time sheet deadlines.
Assist employees with necessary timesheet corrections/or amend time sheets to reflect actual time worked or used including Worker's Comp and Short-Term Disability.
Public Relations
Represent the Department and supervisors in person, by telephone and in correspondence with other governmental agencies, vendors, and suppliers; replies to inquiries regarding, policies and procedures, purchasing and parts delivery coordination.
Research and provide information to resolve problems and complaints.
Establish and maintains effective and cooperative working relationships with all levels of personnel involved in the operations of the organizational unit, other CDOT departments and outside vendors and suppliers.
Other Duties
Assist Mechanic/Weld shop and Section 6 Patrols with effectively maintaining and documenting work done through the Preventative Maintenance Work Order Program on all Equipment.
Provide back-up support to Storeroom personnel by answering staff questions related to SAP for materials ordering, Storeroom catalog, Storeroom products available, safety and use of storeroom products.
Assist the Maintenance Shop supervisor and shop personnel with entering data into CDOT's SAP and Requisitioning computerized programs to order shop uniforms.
Create and track uniform purchase orders and process invoices.
Other job duties as assigned.
Work Environment:
Your schedule will primarily be 7:00 am 3:30 pm work hours, Monday- Thursday, with the opportunity for a flexible schedule.
Occasional overnight travel 1-3 times a year throughout Colorado.
Required to operate CDOT vehicles.
Required to provide back-up support on roadway emergencies as needed.
May be required to work outdoors in extreme hot or cold weather conditions and in proximity to heavy traffic.
