ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Develop and maintain a professional image while representing NOVOMATIC Americas in both personal interfaces and those communicated via the phone or e-mail.
  • Serve as a point of contact for customers, addressing inquiries and providing information about products and services.
  • Responsible for all stages of the Sales Order Process: Quotes, Orders, Confirmation, Delivery, Invoicing, and Returns.
  • Apply approved pricing structure to orders and confirm sale price accuracy as well as any applicable discounts and taxes.
  • Utilize existing contract templates and the highlighted legal clauses to generate agreements for Sales and Lease Orders.
  • Work closely to coordinate the execution of signed Legal contracts pertaining to Sales orders.
  • Work in conjunction with the Upper Management to follow-up with sales personnel on outstanding order issues identified through the Sales order Process.
  • Keep Sales personnel informed us of all the changes in the status of their Sales orders including date of manufacture, shipment and installation.
  • Utilize MS Dynamics BC to maintain accurate information pertaining to customers, quotes, and orders following assigned Sales Order Process
  • Review Sales Order Configuration and input relevant details into ERP system
  • Check for Regulatory Approvals for parts, software, and cabinets
  • Coordinate customer issues and requests and expedite and/or escalate for resolution in a timely manner.
  • Keep Sales personnel and customers informed of all the changes in the status of their Sales quote and orders
  • Work with Warehouse and Technical Team to identify parts and complete customer requests
  • Maintain accurate database of customers, orders, and contracts
  • Perform all analytical reports and clerical functions, including filing, typing, etc. as identified by management.
  • Maintain electronic and hard copy filing systems.
  • Other duties as assigned

Requirements:

  • Ability to professionally interface and respond to questions from customers, sales personnel and other departments within the company as required
  • Must have a working knowledge of Microsoft Office Suite
  • Microsoft MS Dynamics BC experience is a plus but not required
  • Ability to read, analyze, and interpret general business correspondence
  • Experience in Sales Support or Sales Coordination desired
  • Proactively improves skills and knowledge

  • Attentive to details / highly organized
  • Associate's Degree in Business Administration or similar
