We are seeking a Customer Service & Order Processing Specialist to join our team. This role is critical to ensuring orders are processed with accuracy, returns are managed smoothly, and our sales team and customers receive the support they need.

Key Responsibilities

  • Process and confirm orders received via Gmail, Faire, and Shopify.

  • Accurately label, file, and archive digital and physical orders by store, rep, and season.

  • Communicate order confirmations and updates directly with sales reps and customers.

  • Prepare physical orders with seasonal/tradeshow references (e.g., MAGIC LV, Dallas Market).

  • Manage Return Authorizations (RAs) for damages or mispicks, including creating call tags, issuing replacements or credits, and coordinating with the warehouse.

  • Maintain RA binders and digital records to ensure proper documentation.

  • Generate and manage Open Order Reports (OORs) to track pending shipments and prioritize fulfillment.

  • Create and manage sales orders in QuickBooks Desktop, ensuring accuracy in style, sizing, and seasonal details.

  • Generate pick tickets and coordinate with the warehouse team for shipping.

  • Adjust inventory in QuickBooks to reflect returns, damages, or corrections.

  • Process customer pre-authorizations and payments via Authorize.Net.

  • Uphold Caite & Kyla's service standards with professional communication and attention to detail.

Qualifications

  • 2+ years of customer service, order management, or wholesale operations experience.

  • Proficiency in QuickBooks Desktop (required).

  • Familiarity with Shopify, Faire, Gmail labeling, and cloud file management.

  • Excellent organizational skills with high attention to detail.

  • Strong written communication for professional customer and sales rep interactions.

  • Ability to work independently while supporting a collaborative team environment.

  • Experience in fashion, apparel, or wholesale distribution .
