We are seeking a Creative Project Specialistto join our dynamic creative team and help shape the visual identity of our books and brand.Position SummaryAs a Creative Project Specialist, you will play a vital role in the planning, coordination, and execution of creative deliverables across print, packaging, and custom product initiatives. Working closely with Creative leadership, design staff, and cross-functional teams, you'll ensure projects are delivered on time, within scope, and aligned with campaign goals. You'll also manage vendor coordination, track budgets and timelines, and provide essential administrative support to the VP, Creative. This role is ideal for a highly organized, proactive individual who thrives in a fast-paced creative environment and is passionate about operational excellence in the creative process.Key Responsibilities
  • Coordinate timelines, deliverables, and workflow for creative projects to ensure timely completion.
  • Manage task delegation and project tracking in Asana or similar platforms, balancing team bandwidth and identifying outsourcing needs.
  • Submit vendor agreements and invoices to Legal and Accounts Payable in a timely and accurate manner.
  • Compile and distribute weekly task lists to the Creative team to maintain clarity and momentum.
  • Maintain organized documentation for ongoing creative projects, including production schedules, contracts, and resource plans.
  • Track creative budgets and vendor estimates, ensuring accuracy and alignment with project goals.
  • Collaborate with Creative leadership and internal teams to align on project objectives and execution strategies.
  • Serve as the point of contact for internal and external project logistics, resolving coordination issues efficiently.
  • Provide administrative support to the VP, Creative, including scheduling, materials preparation, and task management.

  • Bachelor's degree in communications, marketing, design, or related field preferred; 4+ years of relevant experience may be considered in lieu of degree.
  • 2-4 years of project or production coordination experience required; experience in publishing, packaging, or creative operations preferred.
  • Strong understanding of creative production workflows and asset types (e.g., packaging, print, design).
  • Proficient in Microsoft Office for iOS, Mac computers, and project management tools such as Asana.
  • Excellent communication and interpersonal skills with the ability to interact across all levels of internal and external contacts.
  • Strong organizational skills with the ability to prioritize tasks, solve problems, and meet deadlines.
  • Demonstrated business judgment, confidentiality, and professionalism.
  • Ability to operate standard office equipment and software.
  • Must work in our Colorado Springs, CO office.
