Circuit Court Clerk I - Niles Office

Duties:
- Performs clerical, bookkeeping, and administrative duties within the Niles branch of the County Clerk's office.
- Responds to confidential inquiries from citizens, attorneys, and other parties; provides information, collects fees, and prepares certified documents.
- Administers Oaths of Office and performs notarial services; maintains the County Clerk's notary log.
- Prepares and processes various records and documents in accordance with established procedures while ensuring compliance with privacy regulations; verifies that all required documentation is properly prepared, signed, and distributed.
- Opens Circuit Court case files and assigns judges to cases per established judicial rotation schedule.
- Performs data entry on the Register of Action for new cases and all related court filings processed through the branch office; reviews court filings for accuracy and compliance with deadlines.
- Assesses the needs of and provides assistance to self-represented (pro se) litigants in completing Personal Protection Orders and Friend of the Court documents.
Education and Experience:
High school diploma or equivalent and a minimum of one year of office experience, preferably in a legal or governmental organization. Additional coursework in legal office administration, business or related areas is preferred.
Special Requirements:
- Must possess and maintain a valid vehicle operator's license with access to a reliable vehicle throughout the course of employment.
- Will be required to obtain Notary Public commission within three (3) months of hire and maintain it throughout employment.
- Must complete Electronic Death Registration System (EDRS) certification within six (6) months of hire.
- Candidate must successfully pass a pre-employment physical, including drug testing prior to employment.
- A background check will be performed, and employees will be fingerprinted.
- The ability to lift and carry boxes weighing up to 30 pounds is essential to the successful performance of job duties.
Required Knowledge and Skills:
Proficiency in Microsoft Word and Excel. Strong communication skills with the ability to interact professionally with officials and the general public. Capable of maintaining strict confidentiality at all times.
