This is not a recruiting role. We are looking for a Recruiting Coordinator with deep experience managing high-volume scheduling, juggling multiple requisitions, and interfacing professionally with candidates, internal stakeholders, and senior executives. Key Responsibilities
- Coordinate a high volume of interviews across time zones and multiple requisitions, ensuring accuracy and efficiency
- Manage all scheduling logistics, including Zoom or in-person meetings, conference room bookings, calendar alignment, and itinerary distribution
- Serve as the candidate's main point of contact throughout the hiring process, ensuring a white-glove experience from interview scheduling to offer
- Communicate regularly with recruiters, hiring managers, and other stakeholders to keep processes on track
- Maintain and update candidate records in the Greenhouse Applicant Tracking System (ATS)
- Draft and send interview confirmations, follow-ups, and feedback requests
- Coordinate reference checks, initiate background checks, and assist with onboarding logistics
- Support ad hoc talent acquisition projects and process improvement initiatives
Required Qualifications
- 3+ years of recruiting coordination experience in a corporate, consulting, or professional services environment
- Proven ability to manage multiple requisitions and handle complex scheduling scenarios with competing priorities
- Polished and professional communication skills, with confidence when interacting with senior-level stakeholders
- Hands-on experience with Greenhouse ATS (required or strongly preferred)
- Proficient with Microsoft Office (Outlook, Excel, Word) and video conferencing tools (Zoom)
- Strong attention to detail, time management, and problem-solving skills
- Ability to work independently while maintaining strong collaboration with team members
