Position Summary

Reporting to the Jacobs Institute Director, the Jacobs Institute Coordinator work in close collaboration with the Jacobs senior leadership team, faculty members, and senior administrative staff to assist in developing accessible, safe, fiscally-sound, and meaningful programs for graduate students. The Jacobs Institute Coordinator will play a key role in operations for the institute, including program, event, and meeting management; office management; student guidance; and the maintenance of official documents of the governing bodies of the Jacobs Institute. Partner units will include academic departments and programs such as Runway, the academic hubs, Cornell Tech Finance, The Technion - Israel Institute of Technology, Hudson Yards, the Cornell Tech Housing Office, the Office of Engagement Initiatives, and the Language Resource Center.

Essential Functions Include:

Program, Event, and Meeting Management - 60%

* Assist in the development and execution of new and current programs

* Research, recommend and implement programmatic policies, procedures, and best practices.

* Develop and update marketing materials for programs; including presentations, handouts, manuals, web forms, etc.

* Manage day-to-day logistics and maintenance of on-going programs and projects including,

* Prepare program metrics and analysis for period program evaluation and effectiveness; collaborate with leadership to make adjustments.

* Develop and maintain effective relationships with all Jacobs units, the Technion, and other stakeholders/department, other student/academic services, and individuals and agencies outside of the University.

* Coordinate special initiatives, including recruitment processes, to support Jacobs units

Office Management - 15%

* Manage the Jacobs-owned apartment within the House at Cornell Tech

* Ensure travel grants are executed in alignment with policies and reported on in a timely manner. Ensure compliance with academic, financial, and health and safety policies.

* Provide oversight to the admin assistant in the ordering supplies, including gifts, swag items, office supplies, other program necessities with Jacobs Institute administrator.

* Occasionally initiate vendor sourcing and participate in contract negotiations.

* Create content and maintain external-facing interfaces including marketing materials, website, and/or social media platforms

* Partner with Jacobs senior leadership team to research and develop strategies for financial savings and fundraising.

Student Guidance - 10%

* Serve as a resource and contact for students as it pertains to their enrollment at the Technion.

* Act as liaison and representative of the Jacobs Institute with faculty, staff, and administrators at the Technion (including, extensive interaction with the Technion Graduate School)Advise students on standard policies and procedures and solve problems of varying complexity

* Distribute official academic documents to students

Leadership & Supervision - 10%

* Responsible for hiring, training, and providing direct supervision (including employee development and performance management) of administrative support staff.

* Delegate appropriate tasks to administrative support staff.

* Participate and produce the official meeting minutes of the governing bodies of the Jacobs Institute, including the Board of Directors and the Steering Committee

Other position-related responsibilities - 5%

* Participate in projects with occasional work responsibility falling above or below current classification.

* Seek out and attend and participate in professional development opportunities, conferences, and workshops appropriate to program and personal skill enhancement.

* Participate in external outreach, networking, and professional engagement activities.

* Represent the department, both on- and off- campus, in matters related to engagement

* Domestic and international travel may be required approximately once per year for professional development and exploration/preparation of on-site logistics.

Required Qualifications

* Bachelor's Degree and 2 to 4 years relevant experience or equivalent combination.

* Demonstrated experience working with diverse clients and leadership stakeholders to ensure the successful execution of projects/programs.

* Ability to handle highly sensitive and confidential information with tact and discretion.

* Ability to work both independently and with a team, establishing and accomplishing priorities, coordinating projects, and handling multiple objectives simultaneously.

* Work in either an academic or corporate setting coordinating or managing student services, event planning, program coordination, or recruitment.

* Must have strong organizational and project management skills with demonstrated experience meeting milestones and deadlines over a sustained period of time.

* Is highly flexible and adaptable in a fast-paced, team-oriented environment.

* Proven ability for taking initiative to find solutions, make decisions, and navigate ambiguity.

* Experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing.

* Passionate about working in an organization that values and promotes diversity, equity, inclusion, anti-racism, and wellbeing.

* Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff, and community members.

Preferred Qualifications

* Three or more years working with, developing, and managing special programs, preferably in an academic setting.
