Overview

POSITION TITLE (Oracle title): ADMINISTRATOR

WORKING TITLE: Contract Administrator

SCHOOL/DEPARTMENT: Technology Services Division

LOCATION: Crossroads II, Cary, NC

PAY GRADE: Administrator Band 4

FLSA STATUS: Exempt

ELIGIBILITY FOR EMPLOYMENT CONTRACT: No

WORK WEEK SCHEDULE: Monday-Friday (occasional evenings and weekends). Position is available for a Hybrid Telework workweek.

Position Purpose

Responsible for supporting contract administration duties, including analysis of current contract documents, ensuring adherence to district standards, contract review and creation, and process evaluation.

Minimum Qualifications

Knowledge, Skills, and Abilities (KSAs)

  • Considerable knowledge of legal requirements involved with contracts
  • Proficiency in Microsoft Office (Word, Excel, Access, PowerPoint) and Google Apps
  • Knowledge of accounting procedures
  • Keen attention to detail and ability to spot errors
  • Strong analytical and organizational skills
  • Ability to work with staff, managers, and external partners
  • Negotiating and mediating skills
  • Effective communication skills in oral and written forms
  • Ability to prioritize and adjust to varying needs and deadlines
  • Ability to work independently and within a team
  • Ability to establish and maintain effective relationships

Education, Training, and Experience

  • Associates degree in a relevant field; AND
  • Experience reviewing and creating contracts; AND
  • Experience as a Contract Administrator, Contract Manager, or similar role; OR

An equivalent combination of education, training, and experience may be considered.

Certification and License Requirements

  • Valid motor vehicle operator's license as per NC requirements

Preferred Qualifications

  • Experience with public contracting laws

Essential Duties and Responsibilities

  • Prepare and manage official documents, including service agreements, contracts, RFPs, leases, etc., ensuring compliance with laws and policies
  • Negotiate with vendors for optimal value
  • Review and update existing contracts
  • Explain terms and conditions to relevant parties
  • Ensure staff understand and comply with policies and procedures
  • Analyze potential risks in contract terms
  • Stay updated on legislative changes
  • Maintain organized records (physical and digital)
  • Maintain fixed assets inventory and submit annually
  • Serve as backup for Senior Administrator of Contract Administration and Quality Services
  • Perform other related duties as assigned

Work Environment/Physical Requirements

Must be able to operate office equipment, communicate effectively, and occasionally lift objects up to ten pounds. May require driving and is predominantly sedentary work.
