Overview
A growing manufacturing organization is seeking a detail-oriented Contracts & Customer Support Specialist. This position bridges customer-facing activities and internal operations, providing critical support in contracts, compliance, and customer communications. The ideal candidate has a strong administrative foundation, a solid understanding of government or commercial contracting, and the ability to support regulatory compliance efforts.
Responsibilities
Customer Support
- Act as a primary contact for customer communication, ensuring clear, accurate, and timely responses
- Track sales opportunities using CRM tools and shared collaboration platforms
- Process incoming sales orders and maintain database integrity
- Prepare and distribute internal sales metrics and performance reports
- Coordinate logistics for customer visits and sales events
- Provide administrative support for meetings, including agendas and minutes
Contracts Management
- Review customer RFPs and assist in the preparation of compliant responses
- Evaluate customer terms and conditions, identifying critical requirements for the internal team
- Ensure purchase orders and contractual documentation align with prior quotes and internal capabilities
- Support the drafting and execution of contractual agreements such as NDAs
Compliance & Regulatory
- Maintain current registrations with applicable regulatory bodies (e.g., SAM, DDTC, CMMC)
- Respond to customer compliance and certification inquiries
- Support engineering and purchasing teams with understanding of contractual flow-downs (FAR, DFARS)
- Stay up to date on trade regulations and government compliance requirements (including ITAR)
- Train team members on applicable compliance protocols and regulatory practices
- Lead cybersecurity documentation and preparedness efforts aligned with CMMC/NIST standards
Qualifications
Preferred Experience
- Prior experience with CRM systems, preferably HubSpot
- Knowledge of both government and commercial contracting practices
- Familiarity with trade compliance regulations, including ITAR
- Basic knowledge of cybersecurity and information technology best practices
- Experience working in a small manufacturing or engineering-focused company
- Associate's or bachelor's degree in business, communications, or a related field
