ABOUT THE POSITION:

Nova Sky Stories is seeking a highly organized and detail-oriented Contract Administrator / Administrative Assistant to join our growing team. This hybrid role will be instrumental in supporting legal and operational workflows, including contract management, global permitting, meeting coordination, and administrative support for scheduling and travel. You will work cross-functionally with our legal, finance, operations, and engineering teams to coordinate internal reviews, maintain contract databases, manage permitting requirements, and assist with calendaring and travel logistics. This is an ideal opportunity for someone with foundational legal understanding, sharp organizational skills, and a proactive approach to solving problems in a fast-paced, international environment.

ROLE & RESPONSIBIITIES:

  • Drafting and Editing: Prepare, revise, and proofread contracts and related documents, including terms and conditions, to reflect agreed-upon business arrangements.
  • Contract Review and Analysis: Review contracts for accuracy, compliance with internal standards, and identification of potential risks; update documents as needed based on evolving standards.
  • Contract Tracking: Monitor contract execution and compliance milestones, ensuring internal and external obligations are met.
  • Internal Collaboration: Coordinate with legal, finance, engineering, and operations teams to ensure smooth contract workflows and alignment across departments.
  • Contract Database Management: Establish and maintain a centralized contract management system with organized, searchable records.
  • Global Compliance Tracking: Create and manage a database of country-specific legal, compliance, permitting, and regulatory documents.
  • Meeting Coordination: Schedule and prepare for internal and external meetings, including agendas and participant logistics.
  • Follow-Up and Documentation: Capture meeting notes, draft follow-up actions, and track completion of assigned tasks.
  • Administrative Support: Handle various administrative duties such as document formatting, expense reporting, and coordination of tasks across departments.
  • Calendar Management: Coordinate Chief Legal Officer's schedule across multiple time zones for internal and external meetings.
  • Drone Aviation Permitting: Assist in obtaining and maintaining drone operation permits across global jurisdictions

QUALIFICATIONS:

  • 3–7 years of relevant experience in contract administration, legal operations, or administrative support
  • Basic understanding of contract law and standard contract terms
  • Strong written and verbal communication skills
  • Excellent analytical skills with a keen eye for identifying risk and tracking minor changes in legal language
  • Meticulous attention to detail and commitment to documentation accuracy
  • Demonstrated project management abilities, with the capacity to manage multiple contracts and administrative projects simultaneously
  • Comfortable using or learning contract management tools and collaborative platforms
  • Ability to work across departments and with international teams
  • Discretion and professionalism in handling confidential and sensitive information
  • Familiarity with aviation, compliance, or permitting is a plus
