  • Sort and distribute incoming mail.
  • Answer the telephone and function as receptionist.
  • Operate a variety of office and duplicating machines.
  • Use tact and sensitivity when dealing with visitors, staff, clients, and the public in general either via phone or in face-to-face situations.
  • Ability to organize, maintain and track paperwork and filing systems.
  • Collect, distribute copy and maintain payroll records.
  • Notify appropriate parties of messages in a timely manner distinguishing urgent from non-urgent issues.
  • Respond to phone messages and seek out individuals as necessary. If the individual is not available notify Supervisor of message.
  • Answer routine questions regarding departmental procedures in response to telephone inquiries.
  • Type routine letters and form letters in a professional format. Check and proof read typed materials.
  • Able to multi-task.
  • Order, track, store and distribute of supplies as necessary.
  • Organize office areas including file cabinets, clerical work-space, supply room, storage area, and conference room including office equipment.
  • Ability to honor confidentiality of personal information related to consumers.
  • Perform all other duties as assigned by the Director of Residential Services or designee.
