Job Summary We're looking for a talented confidential Administrative Assistant to provide support to the Chief Information Officer (CIO) at Eastern Connecticut State University (ECSU). This role will help ensure the effective and efficient operation of the Division of Technology Services (DTS) by performing a variety of administrative and professional duties.
Key Responsibilities - Office Administration & Confidential Support: Manage the daily operations of the CIO's office, handling confidential materials and communications with discretion. This includes preparing and drafting correspondence, reports, and other documents.
- Budget & Financial Management: Assist in developing and administering the departmental budget. Additionally, you will also handle procurement requisitions, manage vendor invoices for payment, and place orders for supplies and services.
- Meeting & Calendar Coordination: Manage the schedule and calendar (Outlook) for the CIO. This involves coordinating meetings, reserving physical locations, or setting up online meetings (Teams or Zoom).
- Communication: Assist the CIO with communications including developing and editing campus wide communications such as project briefs or incident updates.
Required Qualifications - Experience: At least three years of experience as an Administrative Assistant in an office setting is required. Experience supporting a technology-oriented office is a plus.
- Financial Skills: Experience developing and managing departmental budgets, including processing procurement requisitions and handling vendor invoices.
- Technical Proficiency: You must be proficient with common office applications, including the MS Office suite (Word, Excel, Teams, and other suite tools) as well as virtual meeting applications like Zoom and Microsoft Teams.
- Interpersonal Skills: A demonstrated ability to interact with a variety of people as a representative of the Division of Technology Services, including DTS staff, campus community, and campus leadership.
Preferred Qualifications - Education: Bachelor's Degree.
- Higher Education: Experience working in a higher education setting.
- Supervision: Experience supervising student workers or support staff.
- Executive Support: Experience in support of higher-level executives.
Work Environment This position typically operates in an office setting and involves extensive use of personal computers.
