As a Collections/Administrative Assistant, you would be asked to assist office teammates and all customers by handling office tasks, providing polite and professional assistance via phone and email, and generally being a helpful and positive presence in the workplace.
Key Responsibilities:
- Perform fundamental daily administrative tasks to assist the office team.
- Coordinate crew and job scheduling with lead personnel.
- Perform detailed and accurate data entry.
- Assist other departments, as needed.
- Primarily responsible for collections of invoiced jobs as well as above.
Position Requirements:
- High school diploma/GED (preferred)
- Must be proficient with Microsoft Office.
- Answer phones and handle calls before attempting to pass off to additional staff when needed.
- Filing.
- Taking accurate information on jobs, preparing proper job files for production crew, completing documentation in computer files as per office protocols.
- Maintain vehicle information logs.
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Must be able to handle difficult customers and adjusters.
- Call customers with updates on job status.
- Invoicing customers.
- Call customers to collect payments.
- Fast paced-must be able to multitask and take direction from multiple persons.
- Must be able to handle constructive criticism and grow from it.
- Positive attitude and desire to learn.
- Assist where needed and as instructed.
- Light housekeeping skills- for your work area and office area to be kept clean. You may be asked to assist with emptying trash receptacles when full, unload/load your dishes from dishwasher, vacuum etc.
Skills/Physical Demands/Competencies:
This is a role in a fast-paced office environment. Some filing is required which would require the ability to lift files, open filing cabinets, and bending or standing as necessary. Ability to successfully complete a background check subject to applicable law.
