Position Overview:

The Customer Service & Orders Specialist plays a key role in ensuring our wholesale and distribution partners receive timely, accurate, and high-touch support. You'll manage incoming orders, coordinate shipments, resolve issues, and build strong, ongoing relationships with our B2B customers. A passion for coffee, a knack for logistics, and strong communication skills are essential.

Key Responsibilities:

  • Process and manage daily orders via email, phone, or order management platforms.
  • Liaise with the fulfillment team and/or warehouse to ensure timely and accurate deliveries.
  • Proactively monitor open orders, track shipments, and communicate status updates to clients.
  • Resolve order discrepancies, delays, or issues quickly and professionally.
  • Provide product guidance and answer questions about coffee origins, roast profiles, equipment, and service options.
  • Maintain accurate customer records, notes, and preferences.
  • Support onboarding of new wholesale accounts with smooth setup and initial order coordination.
  • Collaborate with the sales, roasting, and logistics teams to align customer needs with supply chain operations.

Required Qualifications:

  • Strong written and verbal communication skills.
  • Ability to quickly learn and master an extensive product catalog.
  • Passion for contributing to the success of our customers' businesses.
  • Positive attitude with strong problem-solving abilities and a proactive approach to tasks.
  • Attention to detail with excellent organizational skills.
  • Ability to collaborate effectively within a team and provide support in other areas when necessary.

Experience Requirements:

  • Bachelor's Degree or equivalent experience (2+ years of relevant professional experience).
  • Previous experience in customer service.
  • Previous experience in the coffee industry is a plus.
  • Familiarity with QuickBooks & Microsoft Office platforms is a plus.
