Job Type Full-time Description The Clinical Assistant performs clerical work for the program, trains all Recovery Specialists (RS) on the Electronic Health Record (EHR) intake process, and provides administrative support to the Residential Administrative Director. The Clinical Assistant performs weekly chart reviews of client's charts, maintains client info in each resident's EHR file, sends out record requests, and maintains the state's Central Data System (CDS). Requirements Record Keeping Duties:
- Ensures accuracy of data input into the EHR system and the performance measurements' database.
- Maintains timely data input and discharge information in the Orion/CDS system; enters authorization criteria, as needed.
- Performs weekly chart reviews.
- Compiles reports and correspondence both in paper and electronic form.
- Reviews program's record requests, checks for valid releases, and seeks approval from appropriate clinical staff before sending out needed information.
- Reviews and assists with destruction of older client charts, as needed.
Administrative Services: • RCA provides support services to the Residential Administrative and Clinical Directors. • Thoroughly trains each Recovery Specialists (RS) on the complete EHR Intake Process. • Is responsible for reviewing each client's EHR chart for accuracy and completion of all intake documents following admission; if chart has erroneous or missing information, the RCA will promptly address this with the appropriate RS and ensure proper completion. • Assists with client discharges as requested by the clinician/program director, including obtaining post-discharge surveys and/or sending referral letters for client discharges.
- May assist with program's billing process, maintaining program's Average Daily Census worksheet, and weekly CDS capacity reporting.
Other Requirements • Must be at least 21 years of age.
- Successful completion of background checks/references including a valid driver's license. The driving record must be in accordance with the agency's guidelines.
• If in lived substance abuse recovery, two years of continuous sobriety/ clean time is required and maintained throughout employment.
- Willing to obtain a flu shot annually (except for those allergic to the vaccine or who have a religious exception) or must wear a mask when agency deems appropriate due to times of high illness.
• Must comply with agency policies and procedures, including those regarding conduct, confidentiality, and record keeping.
- Other duties as assigned.
Education and/or Experience Associate degree (A.A.) in a clerical or business-related field preferred; those with equivalent education from two-year college or technical school, or one year plus of relevant experience will also be considered. Knowledge, Skills, and Abilities (Competencies): To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The Knowledge, Skills, and Abilities (Competencies) requirements are listed below: • The RCA can type, file, photocopy, scan and upload documents, shred and organize files as required. • Answers a multi-line phone system in a professional manner and correctly direct callers. • Knowledge and understanding of HIPAA & 42 CFR confidentiality laws regarding management of records is required, as well as knowledge of substance abuse and the recovery process. • Prioritizes and manages multiple tasks, as needed. The RCA will also be organized, produce accurate work, and provide attention to detail. • The RCA must have strong written & oral communication, including composing letters to professionals on behalf of the clients, with basic computer skills and the desire and ability to learn new systems. • Proficiency with Excel and Microsoft Office Suite required. • Must have the ability to connect and relate to people using empathetic listening and conflict resolution skills; must possess emotional intelligence skills and consistently maintain professional boundaries with clients. • Must have the ability and willingness to be a back-up Recovery Specialists (RS), as needed.
