Join Our Team in Public Service Administration! Indian River State College is seeking a detail-oriented and customer-focused Clerk to join our Public Service Administration department. In this role, you will provide essential clerical and administrative support to help ensure the smooth daily operations of departmental programs. From preparing reports and managing schedules to assisting with events and maintaining records, you'll play a key part in supporting our faculty, staff, and students. JOB SUMMARY: Under direct supervision, this position provides administrative and clerical support to the assigned department and its programs. Responsibilities include performing routine office tasks such as word processing, preparing reports, drafting correspondence and memoranda. Perform receptionist duties including screening phone calls, taking messages, managing schedules and calendars, and handling incoming and outgoing mail. Assists in producing and distributing materials needed by department staff, such as business cards, brochures, signs/displays, mailings, books, classroom worksheets/tests.
SPECIFIC DUTIES AND RESPONSIBILITIES: - Provides support to staff, faculty, and students as assigned, and makes appropriate referrals when necessary.
- Delivers program support services, ensuring smooth day-to-day operations.
- Assists with tracking program process and progress; maintains databases and related files; and monitors participants attendance at meetings and events.
- Manages office supply inventory, processes purchase requisitions; monitors budget expenditures; uses chart of accounts; and maintains book and laptop inventories.
- Operates office equipment including laminators, copiers, and printers as well as printshop equipment periodically; maintains equipment; ensures resulting products meet quality standards; and tracks inventory.
- Assists with scheduling program events and workshops; maintains a schedule of program activities; makes the arrangements for student trips, including tickets, bus transportation, meal vouchers; and accompanies field trips when needed.
- Organizes and maintains records and files; maintains email and participant databases; prepares agreements/contracts; and assists with payroll documentation.
- Prepares agenda and takes minutes for staff meetings.
- Communicates with other College departments and personnel as directed.
- Completes all other duties and responsibilities as assigned.
QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS: - High school diploma or equivalent required; Associate degree preferred.
- Minimum one (1) year of related work experience; or any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities.
- Familiarity with enterprise resource planning (ERP) and academic operations systems such as Workday, Coursedog, and/or Banner is a plus.
- Knowledge of general office procedures, basic bookkeeping, and use of a chart of accounts.
- Strong organizational and time management skills, with the ability to prioritize effectively.
- Skill in working with Microsoft Office, Windows, and Excel based applications and ability to operate various standard office equipment.
- Excellent customer service skills.
- Strong attention to detail, ability to maintain confidentiality, meet deadlines, handle multiple tasks and work independently.
PHYSICAL DEMANDS: This position classifies the physical exertion requirements as heavy work involving lifting no more than 100 pounds at a time with frequent lifting or carrying of objects weighing up to 50 pounds. If someone can do heavy work, we determine that he or she can also do medium, light, and sedentary work.
