Assist in receiving and maintaining HR related records and documents, including scanning all hard copy documents into the paperless document management system. Provide assistance to administrators for the efficient operation of the payroll, human resources and business services departments. Qualifications: Education/Certification: High school diploma or GED Special Knowledge/Skills: Proficient computer skills including keyboarding, word processing, file maintenance and scanning documents Effective organization, communication and interpersonal skills Ability to follow written and oral instructions Ability to operate multi-line phone system Ability to operate a personal computer, Microsoft Word & Excel Ability to work cooperatively with others and be flexible with work arrangements Bilingual preferred Experience: One to two years clerical experience in working in an office setting. Major Responsibilities and Duties:
Greet and direct human resources visitors to appropriate staff. Receive and direct incoming calls, take reliable messages, and route to appropriate staff. Perform general office duties including faxing, copying, scanning and filing. Provide other clerical assistance as needed. Sort, distribute, and deliver mail, messages, and other documents to appropriate staff and departments. Assume responsibility for maintaining the appearance of the reception area. Assist with preparation of materials for recruiting, job fairs, etc. Process name and address changes. Receive and process online, written and phone employment verifications for current and former employees. Assist personnel services staff with reviewing, processing, and verifying accuracy of data/information for all service records requests, when needed. Create new and replacement employee ID badges. Participate in staff development activities to improve job-related skills. Assist Communications Department with coverage of Administration Building Receptionist as needed. Ensure confidentiality regarding all personnel matters. Perform other duties as assigned. Equipment Used: Multi-line phone system, personal computer, scanner, badge machine, label maker, and printer/copier. Working Conditions: Mental Demands/Physical Demands/Environmental Factors: Maintain emotional control under stress, work with frequent interruptions. Constant contact by phone and in person with the public and school district employees. Continuous sitting, standing, bending, stooping and wrist flex extension. Administrative office environment.
