DescriptionReports to: Chief Operations Officer Department: Information & Assistance Management Classification: Non-Exempt Position Characteristics: Under the direction of the Chief Operations Officer, provide administrative and clerical support to ensure the efficient operation of the administrative aspect of the departments. Work is generally routine and may require independent action. Duties and Responsibilities: To reflect in all aspects of job performance the mission of the East Baton Rouge Council on the Aging, Inc. 'serving the elderly in East Baton Rouge Parish, to enrich and enhance their quality of life through advocacy efforts, creative planning, and coordination and provision of needed services, and to make it possible for them to live independent lives as long as possible.'
  • Administrative support to the COO, and the Information and Assistance Department.
  • Assist in the managing communication, including answering phone and relaying messages, professionally greeting visitors, managing incoming and outgoing mail, etc.
  • Maintain client confidentiality in conformance with East Baton Rouge Council on Aging confidentiality policy and State laws and regulations
  • Assist in updating and maintaining the files
  • Assist in the preparation of regularly scheduled projects
  • Assists in receiving, tracking, and managing telephone calls
  • Assist other departments as needed
  • Perform other duties as assigned
Knowledge, Skills and Abilities
  • Knowledge of and orientation to the philosophy of the EBRCOA as presented in mission/philosophy statements
  • Ability to establish and maintain a positive and professional relationship with co-workers, clients and visitors; cultural sensitivity
  • Ability to relate well and effectively in diverse workplace and with a diverse client population
  • Ability to comfortably and respectfully serve the special needs of an elder client population
  • Ability to organize, efficiently document and routinely update information
  • Ability to apply procedures to work problems and situations
  • Familiarity with current Windows operating systems (as applicable) and proficiency in required software, including currently supported versions of Windows applications such as Word, Excel, etc.
  • Ability to operate and trouble-shoot general office equipment (e.g., copier, fax, calculator, etc.)
  • Flexibility in responding courteously to immediate needs of visitors and callers; ability to establish priorities and maintain productivity despite numerous interruptions
Full-Time/Part-Time Part-Time Valid Drivers License RequiredAbout the Organization Since 1973, the East Baton Rouge Council on Aging (EBRCOA) has served the aging population of East Baton Rouge Parish through a spectrum of nutritional and social services. Additionally, the EBRCOA is charged with both meeting and discovering the growing needs of the ever-increasing aging population. Central to the EBRCOA's mission is service to seniors as well as the maintenance of their personal independence and the enhancement of their storied lives. As such, our mission is simple: Supporting Independence - Serving Seniors. Said mission is made real through a variety of community-wide programs such as: • Meals on Wheels (home-delivered meals to homebound seniors) • Congregate Meals (hot meals at 15 different sites/senior centers throughout the parish) • Information and Assistance (trained counselors are available to answer questions, provide a thorough assessment of needs, make appropriate recommendations of services, refer individuals to other EBRCOA-related services in addition to other community-wide agencies/services available to the aging population) • Personal Care/Homemakers (trained caregivers providing in-home care; house-cleaning; laundry, respite, etc.) • Family Caregiver Support (assistance for caregivers tending to individuals 60+) • Health Screens (comprehensive screens at each senior center: glucose, immunizations, nutrition, referrals, etc.) • Insurance counseling; utility assistance (cable, electricity); Medicaid applications.
