Job Summary/Objective: Prepare and process incoming, outgoing, and internal mail for distribution. Also responsible for performing various duties associated with the imaging of documents for required retention. Input data and verify key information on the imaging system from scanned images. Prepare and assemble forms and materials for delivery and/or shipment to accounts and others. Maintain security of dock area by remaining attentive to vendor arrivals and assisting with loading and unloading of shipments. Essential Functions (reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions):
  • Sort incoming mail, opening mail as needed to determining recipient; timestamp mail as required.
  • Operate postage scale and meter machine to apply correct postage for outgoing items. Complete necessary forms for certified mail and airmail delivery; process mail requiring special handling. Prepare outgoing shipments; determine cost efficient method for shipment by using specified software and websites.
  • Deliver mail to designated areas located throughout the Company; pick-up outgoing and interoffice mail and either deliver to internal recipient or prepare for external mailing.
  • Prepare and scan incoming mail and correspondence into the imaging system. Assess condition of documents, completeness of information, and quality and accuracy of scanned images.
  • Enter key information of scanned documents into the imaging system. Run daily and monthly jobs importing images onto the imaging systems.
  • Monitor and process dock deliveries, including receiving, loading and unloading material shipments, recording arrivals of vendors, logging deliveries and maintaining dock area security. Deliver packages to designated individuals.
  • Receive requests for supplies; pull materials from inventory and assemble and package for shipment.
  • Operate the mail insertion machine.
  • Viewing scanned images for quality assurance; identify inaccuracies and resolve in accordance with department procedures or bring forth concerns to Manager for resolution.
  • Purge identified documents for destruction in accordance to record retention schedule. Gather internal documents identified for shredding. Coordinate destruction with external shredding vendors.
  • Assist the Lead Supply Specialist with operations of the printers.
  • Interact with other department members to resolve problems and inquiries and to allow for efficient data and information flow.
  • Assist with special projects and duties as assigned including backup and coverage for other areas.
  • Perform other related duties as assigned.
Required Education and Experience:
  • High school diploma or equivalent.
  • Six months previous work experience.
  • Basic computer skills.
  • Verbal communication skill to communicate with employees on mail processes.
Preferred Education and Experience:
  • Previous mailroom or customer service experience preferred.
Position Type and Expected Hours of Work: This is a full-time position. CSO's overall business workdays are Monday through Friday, 7:30 a.m. to 5:00 p.m. with the incumbent's actual work hour schedule to be determined by their supervisor. Attendance is required with employee working their scheduled hours of work at the employee's designated work location, which may be office or remote based, or a combination thereof. Work Environment: This job operates in a corporate office environment. Incumbent is expected to reasonably work through necessary stressors of the job and work reasonably well with others. It is CSO's practice to communicate pertinent information on job duties, company policies and benefit disclosures via its email system. Thus, employees are required to access their company email account as an integral part of their job responsibilities. Physical Demands: This role routinely uses standard office equipment such as computers, postage meter machines, photocopies, filing cabinets. The work performed is sedentary with the employee seated, and standing intermittently, to perform most duties. Less than 10% of the time will be spent performing physical activities and the job does not involve stooping, crawling or kneeling except in occasional situations. However, a negligible amount of lifting, pulling and pushing may be required to perform the work and some walking, standing, and manual dexterity may be required in routine activities such as carrying papers, opening file drawers, operating basic office equipment. Travel: This position requires no travel.
