Description

Position Purpose

The Chief of Staff for the Office of the President provides high-level executive, administrative, and operational support to the president and chief executive officer at Vaughn College of Aeronautics and Technology. This role also supports the needs of the board of trustees. As a trusted member of the president's office, the chief of staff ensures seamless operations, supports event planning and communications, manages and coordinates assigned projects, and coordinates the efforts of the senior team. The position requires sound judgment, impeccable discretion, and a high degree of professionalism. The successful candidate will demonstrate the ability to manage multiple priorities, possess intellectual curiosity, foster collaboration, and will be expected to develop a deep understanding of the institution and its operations.

Responsibilities

Executive Support to the President

  • Strategic Planning : Assist the President in implementing strategic plans and initiatives which may include research and drafting presentations and understanding key performance indicators
  • Project Management : Oversee and manage key projects and ensure timely completion. Assist in the coordination and prioritization of senior staff projects and activities ensuring targets are met.
  • Communication : Serve as a liaison between the senior staff team, faculty, staff and external stakeholders, prepare, edit and manage multi-modal communications on behalf of the President and CEO.
  • Operational Support : Provide operational support including scheduling, meeting preparation, travel, budget, document retention, office management, as well as process and procedure review and implementation.
  • Data Analysis : Organize and analyze data to provide insights to support decision-making processes
  • Customer Service : Serve as the first point of contact and key liaison for the office, handling internal and external inquiries with professionalism, integrity, and discretion.
  • Leadership : Act as a force multiplier to the President, providing insight, structure, and leverage to accelerate organizational performance.

Support for Vaughn's Board of Trustees

  • Support trustee communications, meeting logistics, and materials preparation. Ensure the timely delivery of accurate Board materials and manage board minutes during meetings.
  • Assist in planning board-related events and coordinate Trustee hospitality and travel arrangements.
  • Act as a liaison between the Board and the President.
  • Demonstrate leadership in managing Board-related questions and activities.
  • Understand, distinguish, and curate items that are matters for the Board
  • Event Planning and Coordination

  • Coordinate logistics for events hosted by the president including dinners, cultivation events, staff development and VIP campus visits.
  • Serve as liaison with internal departments (human resources, advancement, food services, facilities, etc.) and external vendors.
  • Ensure that the President is equipped with key points relevant to event participation
  • Special Projects and Communications

  • Manage institutional communications, strategic initiatives, and cross-divisional projects.
  • Reconcile and monitor department budgets; process expense reports and manage procurement for the office of the president
  • Organize relevant archival data for review, analysis, presentations and reporting

  • Experience translating strategy into operational plans and supporting outcomes against those plans.
  • Proven experience managing cross-functional projects
  • Strong interpersonal and relationship skills, including the ability to influence and inspire as well as a demonstrated ability to draw out the best in diverse constituents
  • Expert communicator - verbal and written
  • Flexibility to work occasional evenings and weekends for board meetings and presidential events.
  • Experience working with mission-driven organizations serving underserved populations.
  • Ability to work effectively and efficiently both independently and as a collaborator
  • Ability to maintain confidentiality with complex matters while building trust among stakeholders.
  • Exhibit a high level of emotional intelligence and skills to provide exceptional customer service.
  • Qualifications

  • Bachelor's degree required
  • 5+ years of providing progressive, executive-level support, preferably in higher education or nonprofit settings.
  • Demonstrated experience coordinating executive-level communications, travel, managing multi-faceted events, and leading projects.
  • Strong digital literacy with different technology platforms is essential, including high proficiency in M365 (Outlook, Word, Excel, PowerPoint, etc.); and a familiarity with board portals (e.g., OnBoard) or document routing systems a plus.
  • Physical Activity, Work Environment, & Schedule

  • This position is located in an office environment. Generally an employee needs to be able to sit, stand, and navigate within the office area. The office equipment either individually used or shared with a department is the responsibility of all employees.
  • This position may work remotely 1 day per week, Friday.
  • Compensation

    The entry level compensation for this position is expected to range from $85,000 to $105,000.
